General Description: The Accounting Technician will record revenues, reconcile accounts receivable billing, assist with the administrative duties of the budgeting process, perform all accounts payable duties and perform other related duties as required.This class works under administrative supervision, developing and implementing programs within organizational policies and reports major activities to executive level administrators through conferences and reports.Duties and Responsibilities: The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.Accounts Payable• Checks and approves all invoices for payment.• Prints and checks the invoice edit list, EAL, pre-check register, downloads checks updates, and places holds on checks.• Prints check registers, bank transfer lists, check disbursement journals, and data summaries.• Prepares accounts payable checks.• Prepares check reports.• Scans and files source documents, such as vendor invoices, AP journals, and check copies• Separates checks from copy; submits check registers to Treasurer's office and mails remittances with checks.• Resolves conflicts with accounts payable.• Prints all accounts payable reports and maintains all accounts payable files.• Ensures remit to addresses are kept current via the Procurement Office.Accounts Receivable• Enters Cash receipts payments in the Financial Accounting System.• Reconciles accounts receivable billing.• Enters requisitions for obtaining required office supplies, budget supplies and etc.• Performs administrative duties associated with the budget process.• Assists in preparation of account analyses and roll forwards of data required for fiscal year end audit.• Scans and files source documents, such as copies of checks & other cash receipt documents.General Office Duties• Retrieves and sorts mail for distribution to proper personnel.• Performs other duties and related work as instructed and assigned.Minimum Education and Experience Requirements: Requires Bachelor's degree or equivalent in communications.Requires three (3) years of experience in Accounts Payable or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.Special Certifications and Licenses: • NoneReasoning / Mathematics / Language: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
