Orbital Engineering, Inc. is currently seeking a highly organized and detail-oriented Accountant to support our Natural Gas group in Hammond, IN on a part-time basis to assist with various finance-related tasks. This role involves managing invoicing, accruals, and financial tracking, ensuring accurate and timely delivery of financial support services. The ideal candidate will have advanced Excel skills, strong communication abilities, and a proactive approach to problem-solving.
Responsibilities include but are not limited to:
- Invoicing and Financial Tracking:
- Prepare and process biweekly invoices.
- Ensure invoices meet client-specific requirements for review and submission.
- Track invoices for accuracy and resolve discrepancies, including rejected or canceled invoices.
- Develop a robust system to monitor payments, credits, and debits.
- Accruals and Forecasting:
- Collaborate with product managers to consolidate monthly accruals and forecasts.
- Ensure forecasts align with project budgets and PO amounts.
- Deliver final updates and summaries in a timely manner.
- Accounts Receivable Follow-Up:
- Monitor payment status for submitted invoices and follow up on overdue payments.
- Work with Orbital’s Accounts Receivable team to investigate and resolve discrepancies, such as voided or overpaid invoices.
- Maintain records of client communications related to billing adjustments, credits, or corrections.
- Data Management and Reporting:
- Develop and maintain advanced Excel-based financial tracking systems.
- Automate workflows using macros, pivot tables, and data visualization tools.
- Extract and format data from Deltek systems for comprehensive analysis and reporting.
- Client Communication Support:
- Respond to client and team inquiries within established timelines (same day or within three days).
- Support the preparation of financial templates and reports to meet client needs.
- Act as a liaison for billing-related queries and follow-ups with clients and internal teams.
- Format financial data into client-specific templates for accruals, invoicing, and reporting.
- Ensure that all client deliverables meet established quality standards and deadlines.
- Track client billing requirements and ensure adherence to contractual obligations.
- Process Improvement:
- Identify and address gaps in existing billing and financial processes.
- Propose and implement enhancements to streamline workflows and improve accuracy for financial data entry and retrieval within Deltek or similar systems.
- Assist in documenting processes and procedures for financial operations to ensure clarity and consistency.
Minimum Requirements
- Associate’s Degree in Accounting or Finance
- Proficiency in advanced Microsoft Excel (e.g., macros, pivot tables, advanced formulas).
- Strong organizational skills and attention to detail.
- Experience with financial systems like Deltek or similar tools.
- Excellent communication and interpersonal skills.
- Ability to manage deadlines effectively and adapt to changing priorities.
- Availability to work approximately 10–20 hours per week based on workflow demands.
- Availability for biweekly tasks, end-of-month accruals, and on-call support as needed.
- This position requires the ability to pass a post-offer drug (including marijuana) and alcohol test in compliance with Federal regulations and is also subject to random testing as a condition of continued employment.
Preferred Skills
- Familiarity with accounts payable/receivable workflows.
- Experience with process improvement and workflow optimization.
- Prior experience in a utility or project management environment is a plus.
