As our synthesis and piloting lab in Princeton expands, we are seeking a dedicated Lab and Office Manage r to oversee critical administrative and operational tasks, ensuring consistency, compliance, and efficiency.

Position overview :

The Lab and Office Manager will play a key role in supporting the day-to-day operations of our Princeton office and lab. The ideal candidate will bring a mix of organizational, administrative, and financial skills, with a collaborative approach to working in a technical environment.

Location : Princeton, NJ (In-office, 5 days per week)

Required experience :

Lab Operations and Administration

  • Manage inventory and ordering of lab and office supplies including creating and managing purchase orders.
  • Coordinate with vendors, conduct initial research, and establish vendor relationships.
  • Handle customer credit applications and maintain the U.S. supplier register, ensuring compliance with tax documentation requirements
  • Oversee the shipment of samples for external analysis.
  • Organize and oversee various cleaning services, e.g. laundry services and supervise cleaning staff as needed.
  • Maintain safety training and OSHA compliance records.
  • Serve as the primary point of contact for facilities requests, co-ordination and management.

Office Administration

  • Coordinate travel arrangements, event planning, and reservations for visiting staff and guests.
  • Reconcile credit card charges and manage office-related expenses through the spend management system.
  • Maintain statutory notice posters and ensure regulatory updates are distributed.
  • Act as a liaison for U.S.-based HR / payroll, insurance policies, and benefits-related inquiries.
  • Safety and Compliance

  • Develop safety program elements, including SOP reviews, JSA writing, and safety communications.
  • Coordinate evacuation procedures and ensure compliance with lab safety standards.
  • Nice-to-have experience :

    Bookkeeping Support

  • Update monthly lab budget trackers with categorized spending.
  • Collate invoices for pay runs and support bookkeeping.
  • Support on state and federal tax compliance, quarterly tax submissions, and payroll reconciliations.
  • Oversee annual 1099 filings; and
  • Assist on preparing US management accounts and consolidated company accounts.
  • Qualifications

  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
  • Background in office management essential. Background in accounting or finance desired, but not essential.
  • Experience working in a small company or startup environment is highly desirable.
  • Familiarity with chemistry labs or working alongside technical teams is a plus.
  • Flexibility and adaptability to evolving responsibilities.
  • Additional Information

  • Location : Candidates must already be based locally; relocation assistance will not be provided.
  • Schedule : initially part-time with the potential to move to full-time, on-site
