The Oregon Department of Corrections is currently hiring for two Office Specialist positions at the Oregon State Penitentiary in Salem, Oregon. These positions are situated in an office setting. This recruitment will establish a list of qualified candidates, which may be used to fill both temporary and future vacancies.
This position is represented by the Association of Oregon Corrections Employees (AOCE) labor union. This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.
About The Job – Your Role
The primary goal of this position is to provide clerical support across various sections at the Oregon State Penitentiary, including AIC Work Programs, Group Living, Special Housing, the Superintendent’s Office, General Services, and the Security Office. Responsibilities include tasks such as ordering, LEDS and CJIS management, new employee screening, and assisting managers with clerical needs. This position will also cover absences of other office staff. It is a full-time role, requiring 40 hours per week.

You will work in an office environment where conversations and paperwork are generated of a sensitive nature daily and must possess the ability to keep this information confidential, accurate and a high level of production. Those risks associated with working in a multi-custody institution including daily contact with Adult’s in Custody (AICs). Possible encounters with abusive AICs pose the risk of physical injury. May be required to work long hours in case of an emergency.

Minimum Qualifications

- Two (2) years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
- An associate degree in any field; OR
- An equivalent combination of education and experience.
- Excellent Customer Service and able to provide clerical support for various sections
- Manage office supply inventory and routine purchases
- Order name tags and institutional forms
- Retrieve and distribute section mail to the appropriate area/staff
- Organizing and maintaining staff working files, ensuring compliance with archive retention schedules
- Monitor work priorities and time frames to meet targeted deadlines
- Provide clerical support to managers, assisting with documentation of staffing rosters
- Schedule meetings, prepared agendas, and attended meetings to record official actions
- Work independently on various assignments, including institution audits, special projects, and the preparation of reports
- Strong communication skills (verbal and written)
- Manage and work with confidential information
- Experience working with Microsoft Office (Word, Excel, Outlook, etc.)
- Law Enforcement Data System (LEDS) certification
- Knowledge or experience working with SPOTS cards/accounts
- Experience working with Automated Financial Accounting Manufacturing Inventory System (AFAMIS)
