Summary Of Duties
As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon’s most vulnerable children and families. As a D13 Administrative Support You Will
Administrative and Records Support: Maintain key cards, state ID badges, and keys for all staff in District 13. The role also involves ordering district supplies for the district 13 Child Welfare, Self-Sufficiency Program, and Oregon Eligibility Partnership. Additionally, the position requires ensuring that email distribution lists are up-to-date and preparing interview materials while coordinating interview schedules.
Primary Motor Pool Coordination: You will be responsible for the fleet maintenance including pick up/drop of cars to Salem Motor pool, oil changes, mileage tracking, reconciling gas card bills, replacement of gas card, car washes and detailing.
Financial Clerk: You will be the backup for sending building invoices – codes for payment Office of Financial Services (OFS) and the VISA card holder for all of District purchasing.
CJIS Coordinator: Assist managers in running ORCHARDS and Criminal Justice Information System (CJIS) background checks for all new CW hires. Track CJIS expirations for Child Welfare staff to notify them when renewal is required.
Wireless Watchdog Coordinator: Wireless Watchdog Coordinator duties including main contact for trouble shooting cell phone issues, ordering cell phones for Child Welfare/Self-sufficiency Program/ Oregon Eligibility Partnership district staff.
Minimum Qualifications
A valid driver’s license and acceptable driving record are required for this position.
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents
OR
An associate degree in any field
OR
An equivalent combination of education and experience.

- Your work will be conducted in office. This is an in-person position.
- This position requires working a flexible schedule as a condition of employment with a normal workday of 8 hours, from 8 AM to 5 PM; however, working hours may be adjusted within a given week, to provide planned services. Occasional compensated overtime will be required, including evening, overnight or weekend hours may be required.
- You will have frequent local travel. Occasional travel may be hours away. On rare occasions, you will have overnight travel.
- You will interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.
- You may encounter stressful situations that require quick decision-making to ensure safety of yourself and others.
- A valid Driver’s License from the state in which the employee resides.
