Behavioral Health Division is seeking an experienced Administrative Specialist to provide administrative, planning, and program support to the Behavioral Health Investments (BHI) Manager and team, in service to transformative, community-led, and community-owned initiatives and the mission, vision, values and goals of the Oregon Health Authority and the Behavioral Health Division.
You will oversee business support functions and will be responsible for the administrative support aspects of preparing, coordinating, and managing BHI grant agreements, with focus on facilitating cohesive communication, collaboration, and decision-making. This includes monitoring progress on BHI outcomes and the reporting of qualitative and quantitative information. In conjunction with policy analysts, the person in this position will provide technical assistance on the grant agreement and reporting processes.
You will also be responsible for planning, coordinating, and managing meetings, workgroups, and project and team schedules, with focus on facilitating cohesive communication, collaboration, and decision-making. You will develop and update spreadsheets and tracking tools. In this capacity, the person will identify problems, support strategic planning and prioritization, and recommend more efficient administrative procedures utilizing an equity-centered lens.

What We Are Looking For
Minimum Qualifications: These qualifications must be visible in your application for consideration.
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR

An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
An equivalent combination of education and experience.

  • Demonstrate advanced Microsoft Excel, Word, PowerPoint, TEAMS, Outlook skillset.
  • Experience establishing, writing, and maintaining technical and instructional manuals, directives, procedures, and preparing presentations, graphs, reports, and other materials.
  • Experience planning and coordinating meetings, workgroups, and project schedules; and taking notes, tracking due dates, and organizing processes.
  • Experience documenting, researching, and implementing process improvement ideas.
  • Experience monitoring and analyzing processes, protocols, and procedures for the purposes of quality assurance and quality improvement.
