The Team
The Events Coordinator is a member of the Events team within Advancement Operations, which is a subset of the larger OHS Advancement Team, along with the Philanthropy, Marketing & Communications, Corporate and Foundations, and Planned Giving teams. The Advancement Operations team is responsible for all aspects of mass market fundraising, OHS fundraising programs, advancement services and OHS signature events. The Events Team focuses on high priority and high ROI fundraising events for the organization that bring in revenue, donor file, and brand awareness growth.
The Position
The Events Coordinator supports all OHS Advancement Team signature events in Portland and Salem, including our peer-to-peer fundraisers and fun-runs; fundraising galas; telethons; donor stewardship events; recognition and awards events; Advancement staff events and meetings; our Puppy & Kitten Visits; and other events that support the strategic fundraising priorities of the organization. The role must work collaboratively with all OHS departments to foster and cultivate community relationships and achieve fundraising goals. All OHS staff members contribute to the stewardship of the organization’s mission and are expected to stay current on and understand issues related to animal welfare and OHS programs. This position is expected to adhere to the Association of Fundraising Professionals (AFP) Code of Ethical Standards and The Donor Bill of Rights.

PRIMARY RESPONSIBILITIES
• Under the guidance of the Events Manager, work collaboratively with the Events team to plan and execute all Advancement Team and OHS signature events.
• Support the execution of OHS onsite and offsite signature fundraising events that engage and inspire Advancement’s targeted audiences to give generously as well as support Advancement staff meetings, and other Advancement related events and activities.
• Coordinate event requests from the community and support community fundraising events as needed.
• Coordinate small-scale Puppy & Kitten events, including reviewing requests, securing animals, animal handling, and coordinating volunteers.
• Support the data entry, management and maintenance of event-related digital platforms, such as our peer-to-peer fundraising tool, auction tools, and event management tools.
• Assist with monitoring of event stats and revenue goals. Report on related success indicators in an accurate, consistent, and timely manner. Evaluate outcomes and continuously strive to increase related revenue, file growth and brand awareness.
• Consistently provide excellent customer service to event vendors, partners, sponsors and donors/guests, both prior to events via phone and email and in-person at events.
• Maintain inventory and storage areas in an organized manner, ordering additional supplies as needed.
• Oversee volunteer compliance with OHS policies and procedures.
• Animal Handling of varying size and temperament while under stressful conditions such as interacting with the general public. Animals include but are not limited to dogs, cats, rabbits, birds, and small animals. Ensure that animals are treated in a humane manner at all times
• Work with business office to uphold all financial processes. Receipt, process, and document financial gifts and transactions according to established OHS policies and protocols.
• Drive OHS vehicles to transport animals in a safe and secure manner.
• Maintain and transport appropriate supplies to and from events.
• Uphold OHS brand guidelines, utilize style and messaging guidelines in all work.
• Adhere to all OHS safety, training, handling and transportation protocols.
• Attend staff meetings and trainings as scheduled.
• Perform any other duty as request by management.

• High school graduate or GED equivalent.
• 1 year of related work experience in special event development/execution and/or promotion, or similar nonprofit experience.
• Excellent time management, planning, organization, and prioritization skills.
• Excellent verbal and written communication skills; able to communicate with a diverse population in a consistently educational, positive and professional manner.
• Able to meet organizational and program goals.
• Excellent customer service skills.
• Able to work independently with a high level of accountability.
• Able to multitask and respond to changing priorities and demands on time with little to no notice.
• Able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff and volunteers.
• Proficient in use of the Microsoft Office suite
• Able to become certified in Human CPR/First Aid and Animal First Aid within the first 3 months of employment and maintain certification throughout course of employment.
• Able to obtain OLCC license and Oregon Food Handlers Card within the first 3 months of employment and maintain certification throughout course of employment.
• Able to work weekends, evenings, holidays and be flexible as needed.
• Able to maintain a valid driver’s license and provide proof of insurance. Knowledge and experience handling and transporting a wide variety of dogs, cats, small animal breeds and birds in stressful situations such as when in contact with the public.
• Work Environment Conditions & Physical Requirements
This position interacts and collaborates will all levels of the organization, including OHS staff, executive team members, donors, general-public, external vendors, volunteers, and supporters. Contact and communication is carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional, and respectful in all circumstances.
WORKING CONDITIONS
• Work is performed in an office and medical center/animal shelter environment as well as at various off-site location such as vendor and event venues.
• Travel between the Portland and Salem campuses may be required.
• Working at and around both campuses may be required.
• Occasional weekend and evening work may be required.
• Animal contact and related injuries may occur.
• Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
• Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
• Contact with angry or emotional people may occur.
PHYSICAL REQUIREMENTS
• Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
• Occasional pushing and pulling of carted items weighing up to 100 lbs.
