Position Highlights
The Columbia County Circuit Court in Saint Helens, Oregon, is hiring a Civil and Appeals Clerk (Court Operations Associate).
In this role, you will perform data entry for complex civil cases. You will review filings and cases for accuracy and completeness and will make corrections as needed. You will prepare and distribute notices and copies of court documents, monitor reports to track pending cases, and route documents that need further processing. You will also maintain a desk reference manual. In completing your work, you will interact, in person and over the phone, with judges, OJD staff, attorneys, parties, law enforcement agencies, and the public. You will provide information about cases and ensure that all required paperwork and payments are submitted to the court.
Additionally, you will perform data entry for appellate cases and judgments. You will prepare and send case records to the Court of Appeals. You will also assign transcribers and share audio recordings and other case information with them.
As the main phone operator for the court, you will respond to difficult complaints and requests for information. As the mail clerk, you will process incoming mail and ensure the proper handling of payments. Part of your time will be spent scanning and verifying documents.
Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent.
AND
At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
OR
Any combination of education and experience equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

Working Conditions
- This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per workweek.
- Occasional after-hours or overtime work may be required.
- Daily data entry and working with confidential documents and information.
- Daily contact with the public.
- Frequent phone and in-person contact with people from diverse backgrounds.
- Frequent phone and in-person contact with people who may be facing challenging life circumstances, highly stressful situations, or trauma.
- Occasional lifting of loads that weigh less than 20 pounds.
- Frequent walking and stairs.
- Extended periods of sitting or standing.
- Regular use of the following equipment: telephone, OJD-assigned computer with multiple monitors, copy machine, fax machine, and scanner.
