The Information Technology and Records Management Department is looking for an Assistant Management Analyst to provide administrative support to the IT department and help both our team and its clients be successful by delivering key IT procurement, contract, and coordination services.
As the Assistant Management Analyst you will
- Provide direct administrative support to the Chief Information Officer and department managers, process timekeeping, arrange travel for department staff and others and may attend meeting to record and produce minutes or meeting summaries.
- Manage Chief Information Officer’s calendar and appointments.
- Act as department purchasing coordinator, including processing purchase orders, purchase card coding and processing.
- Serve as department and agency liaison facilitating and processing the procurement of hardware/software agency-wide, including processing approval forms and providing support for services.
- Responsible for agency wide IT- related licensing and service contracts. This includes full-cycle contract administration; reviewing and interpreting contracts/grants; tracking and monitoring terms of licensing agreements; facilitating payments and renewals and various appropriate follow-up and resolution tasks.
- Responsible for mobile devices, including new phone and hotspot orders, mobile device management, distributing and troubleshooting phones and billing.
- Maintain various databases and electronic files specific to program area. Entering and updating information, compile data, and generate reports as necessary.
- Assist in administering meetings, virtually or on-site.
- Prepare and maintain accurate reports and records.
- Analyze financial and accounting reports and prepare analysis.
- Monitor Information Technology and Records Management budget.

Minimum qualifications
- Bachelor's degree in Business, Public Administration, Finance, Accounting, or a related field; AND
- At least one year of experience in financial analysis, budget development/oversight or similar; OR
- Any combination of education, professional, volunteer and lived experience that provides the necessary knowledge, skills, and abilities to perform the classification duties and responsibilities.

Hybrid Telework
At this time, this position is designated as “hybrid telework.” You will have the option to work away from the office, although there may be times that coming into the office will be required. The manager will work with you to identify a schedule that balances the operational needs of the department and your needs. Employees must reside in Oregon or Washington to work at Metro
Like to have qualifications
You do not need to have the following preferred qualifications/transferable skills to qualify. However, keep in mind we may consider them when identifying the most qualified candidates. Your transferable skills are any skills you have gained through education, work experience, including the military, or life experience that are relevant for this position.
- Previous experience with procurement, contract coordination, tracking licensing and renewals.
- Working knowledge of governmental accounting regulations and principles.
- Previous experience in Information Technology (prior administrative assistant or analyst role working with an IT department, experience managing IT asset and licensing inventory, experience with common hardware and software, advanced skills in Microsoft Office applications, experience with service desk and issue tracking systems).
- Previous experience working with the public or other customer service experience.
- Previous experience working with Peoplesoft.

COMPENSATION, BENEFITS AND REPRESENTATON
The full-salary range for this position is step 1. $30.39 to step 7. $40.75. However, unless a candidate’s qualifications justify, based on the Oregon Pay Equity Act requirements and Metro’s internal equity review process, the appointment will likely be made between step 1. $30.39 to the equity range step 4. $ 35.22.
This position is eligible for overtime and is represented by AFSCME 3580. It is classified as an Assistant Management Analyst classification.
