Position Summary: The Grant Accountant is responsible for grant specific accounting tasks in support of the Accounting team. This position ensures all grant-funded activities are discharged and accounted for in compliance with all applicable laws, regulations, and donor restrictions and is responsible for meeting all internal/external reporting requirements. The position also supports general department tasks including the preparation of month-end journal entries, the review and verification of daily deposit transactions, reconciliation of various general ledger, income, and expense accounts, and should be fully knowledgeable of the accounting software being used and be capable of performing a month-end close.
Essential Duties and Responsibilities
- Record and report on contributions and pledges from donors in accordance with Generally Accepted Accounting Principles (GAAP).
- Identify and maintain restricted asset schedules and releases.
- Accurately and timely reconcile donor management data to accounting software.
- Collaborate with the Development team to ensure accurate financial reporting and compliance.
- Analyze expenditures charged to federal programs to ensure that they are reasonable, allocable, and allowable under federal guidelines.
- Monitor grant spending and timelines, ensuring budget variances and projected shortfalls are communicated.
- Prepare grant invoices and request drawdowns from federal, state, and local government agencies.
- Prepare fringe rates calculations and Negotiated Indirect Cost Rate Agreements (NICRA).
- Ensure grant compliance and strong financial standing through direct collaboration with project and resource managers to ensure grant compliance and strong financial standing.
- Collaborate in developing budgets for new grant applications.
- Assist with grant reporting preparation.

Secondary Responsibilities
Secondary responsibilities include-but are not limited to-the following:
- Prepare assigned month-end journal entries and year-end journal entries.
- Prepare reconciliations of general ledger accounts as assigned, resolve problems, and make adjusting journal entries.
- Daily revenue review and upload.
- Accounts Receivable invoice entry, payment entry and support Museum staff in management of AR collection and aging schedules.
- Maintain and ensure compliance with accounting internal control procedures.
- Evaluate and make recommendations for improving the organization's accounting processes.
- Assist in preparation of year-end audit schedules and work closely with the outside auditors during the annual audit.
- Cross-training in Accounts Payable and Payroll.
- Reconcile General Ledger accounts, resolving problems and adjusting journal entries.
- Provide department cross-training and provide backup coverage.
- Assist in one-off accounting projects as requested by the Controller.

- Developed knowledge and ability to effectively analyze, troubleshoot, and mitigate accounting variances and ensure compliance with financial reporting and other compliance procedures, in accordance with OMSI standards and Generally Accepted Accounting Principles (GAAP);
- Developed time management skills, with an emphasis on accounting processes and schedules.
PREFERENCES:
- Experience in Salesforce, Sage Intacct, or other CRM software;
- Excellent oral and written communication skills in a non-English priority language in Oregon;
- Presentation skills.
Education & Work Experiences
REQUIREMENTS:
- Bachelor's degree in Accounting, or equivalent experience;
- Minimum 5 years accounting experience;
- Demonstrated project management experience and budget responsibility;
- Demonstrated experience or ability to work effectively with people of diverse backgrounds and talents in professional work environments.
