About Our Organization
We are a nonprofit trade association representing union electrical contractors in Western and Central Oregon, Southern Oregon and the Oregon Coast. Our mission is to promote the highest standards in the electrical industry through safety, labor relations, education, networking, legislation, and code development. The Administrative Assistant is a critical member of our small, collaborative team, helping keep our chapter operations efficient and organized.
Position Summary
The Administrative Assistant plays a vital role in ensuring the efficient day-to-day operations of our chapter office. This position provides direct support to the Executive Manager and Assistant Executive Manager, contributing to internal coordination, membership, recordkeeping, and administrative processes. The ideal candidate is detail oriented, tech-savvy, and comfortable working independently in a small, collaborate office environment.
Key Responsibilities:
- Open and close the office in accordance with chapter procedures
- Serve as the first point of contact for visitors and callers, routing inquiries as needed
- Schedule meetings and coordinate logistics including venues, catering, and materials
- Track labor hours for Chapter records
- Responsible for maintaining accurate office records and inventory and overseeing procurement of office supplies.
- Draft, design, and distribute a regular member newsletter and other communication materials
- Maintain and update the chapter website and manage social media or other outreach channels
- Assist with member engagement and event communications
- Track and manage Chapter programs and incoming requests
- Provide general office support and perform other duties as assigned
Minimum Qualifications
- Associate’s degree or equivalent office administration experience
- Previous experience in an administrative or office coordination role
- Strong communication skills and attention to detail
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Comfort working in dynamic environments with multiple priorities
- Website content management experience
