The Oak Street Clinic Manager is key to department success because they are a strong advocate for Oregon Oncology Specialists. This position oversees the daily operations of the Oncology clinic staff including Medical Assistants, Laboratory, Triage, Reception, and IT. They are responsible for the cohesive and high-quality experiences for patients seen within the clinic in collaboration with the providers and staff onsite. The manager is also an integral member of the leadership team tasked with the continued viability of these services within the oncology service line. The Oak Street Clinic Manager reports to the Director of Clinic Services and Provider Relations as well as the Laboratory Medical Direction for operation and regulation compliance of the laboratory.
Essential Job Functions
Leadership
- Provides day-to-day leadership for the Oak Street clinic staff
- Provides feedback and coaching for the oncology team to support work outcomes and professional development
- Ensure their team has the tools, knowledge, and work environment to succeed in their job duties
- Support direct reports in their supervisory and front-line capacities
- Interview, hire, and train an effective and efficient workforce in alignment with OSG cultural norms
- Commit to a leadership style that affords consistency in holding 1:1 meetings with direct reports for the purpose of their professional development
Operations
- Coordination of the day-to-day operations of the practice
- Design and support workflows that support excellent service to patients, clinicians, and peers by all staff
- Develop, implement, and maintain office policies and procedures
- Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences
- Coordinate staff meetings for administrative and clinical staff
- Ensure staffing is appropriate for day-to-day operations and collaborate with other site leadership for shared staffing needs
- Initiate program and project development to mature the services offered
IT Management
- Coordinates education and training of electronic medical record for providers
- Responsible for disseminating EMR update information to various departments
- Troubleshoots downtime related issues with appropriate vendors and staff
- Acts as liaison for EMR and IT vendor relationships
- Responsible for ticket prioritization and management as required
- Becomes a system expert in the medical record and practice management systems
- Manage internal IT team members and contracted partnership with IT agencies for support
- Provide departmental status updates and strategic goals with CFIO
Medical Lab Management
- Provides medical laboratory diagnostic and therapeutic information, products, and services by establishing specimen preparation procedures; developing and implementing analytical procedures; evaluating laboratory information; consulting with physicians; reporting results according to protocols mandated by the physicians and public health department
- Maintains medical laboratory equipment performance by establishing quality standards; developing operations, quality, and troubleshooting procedures; ensuring staff compliance; certifying instrument performance; arranging equipment replacement, service, and repair
- Maintains medical laboratory supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Maintains medical laboratory productivity by monitoring workload of functional areas; identifying peak and slack periods; making operational or staffing adjustment
- Maintains quality results by participating in the COLA quality assurance program; consulting with physicians; performing proficiency surveys; reviewing quality control and quality assurance programs; making adjustments in policy and procedures; generating reports; maintaining records
- Maintains medical laboratory information system by identifying information needs and problems; recommending improvements; establishing priorities; testing; writing user manuals; training employees; maintaining security and confidentiality
- Implements new programs, tests, methods, instrumentation, and procedures by investigating alternatives; preparing proposals; developing and performing parallel testing; monitoring progress
- Bills for services by completing requests for service; monitoring billed units; providing the billing office with service codes
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
- Complies with state and professional continuing education licensure requirements
- Ensure regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations
Required Qualifications
- MT(ASCP) OR MLS(ASCP) Certification required
- Experience in chemistry and hematology required
- Bachelors degree
- At least two years prior supervisory or managerial experience
- Proficiency in Microsoft Suite
Preferred Qualifications
- Master’s degree
- 5 years’ experience in healthcare setting
- 3 years’ experience in leadership
- Expert in MS Excel
- Highly organized and detail-oriented
- Strong verbal and written communication skills
