We are seeking a detail-oriented and professional office support & customer service coordinator to join our dynamic team. This role requires multitasking in a fast-paced office environment while handling customer interactions, scheduling, and administrative support. The ideal candidate will have strong communication skills, excellent organizational abilities, and the capability to manage simultaneous projects with efficiency. Applicants do not need to have irrigation or landscape knowledge, but they will be expected to learn terminology and get a basic understanding of it as part of the job. We are a mom-and-pop shop which includes two office dogs who keep everyone on their toes.
Qualifications:
- 2 years’ experience working in an office support, administrative, or customer service role.
- Strong verbal and written communication skills.
- Clear and legible handwriting
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Experience handling customer inquiries with patience and professionalism.
- Proficiency in scheduling software, preferably Jobber (or willingness to learn).
- Proficiency in Microsoft Office applications
Key Responsibilities:
- Handle multiple tasks and projects in a busy office environment, ensuring deadlines are met.
- Communicate professionally with customers, technicians, and team members through verbal and written correspondence.
- Provide exceptional customer service, including handling high-emotion situations with professionalism and empathy.
- Manage incoming calls and emails, scheduling service appointments for customers.
- Conduct outbound calls and emails to confirm client appointments and follow-ups.
- Coordinate daily schedules for technicians and estimators in the field, ensuring efficient workflow.
- Utilize Jobber software to manage schedules across two separate companies and multiple teams.
- Maintain ongoing communication with field technicians throughout the day to adjust and optimize scheduling as needed.
- Organize and update customer lists, including appointments, memberships, and future work.
- Strong attention to detail, especially in organizing customer records and drafting quotes.
- Draft and prepare quotes based on estimators' bids and notes.
- Execute email campaigns to engage customers and promote services throughout the year.
- Ability to work independently and collaboratively with field technicians and other office staff.
- Proofread advertisements and marketing materials for accuracy and professionalism.
- Experience in email marketing or proofreading is a plus.
- Work is seasonal with a peak and slow period which will affect scheduling (full time to part time depending on season)
