Patient Services Representative
Hours: Full-time, 32 - 40 hours per week
DESCRIPTION
Job Summary:
The Patient Services Representative serves as the first point of contact for patients at a busy surgeon’s office. This role is responsible for answering incoming calls, scheduling patient appointments, and providing exceptional customer service. The ideal candidate is friendly, organized, and able to effectively manage a high volume of calls while ensuring a positive experience for patients and visitors.
Essential Functions:
- Answer incoming phone calls promptly and professionally, addressing patient inquiries and directing calls to the appropriate department or staff member.
- Schedule patient office visits and surgical consultations in alignment with clinic protocols and provider availability.
- Verify and update patient demographic and insurance information in the electronic medical record (EMR) system.
- Provide patients with information regarding clinic policies, appointment preparation, and required documentation.
- Coordinate with clinical staff to address urgent patient needs or scheduling conflicts.
- Handle cancellation and rescheduling requests, ensuring efficient use of provider schedules.
- Respond to voicemail messages and follow up with patients as needed.
- Maintain a courteous and professional demeanor in all interactions with patients, families, and staff.
- Assist with front-desk duties, including patient check-in, check-out, and collecting copayments, as needed.
- Ensure patient privacy and compliance with HIPAA regulations.
Position Requirements
Education and/or Experience:
- High school diploma or equivalent required.
- Minimum of 1-2 years of experience in a medical office or customer service role, preferably in a specialty or surgical practice.
- Experience with electronic health records, preferably with Epic.
- Experience in a call center or other busy phone system, preferred.
- Bilingual in English and Spanish, preferred and compensated.
Necessary Knowledge, Skills and Abilities:
- Excellent verbal and written communication skills.
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Customer service orientation with a patient-centered approach.
- Familiarity with medical terminology and insurance processes.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Ability to handle sensitive information with discretion and professionalism.
- Problem-solving skills to address scheduling conflicts and patient concerns.
