Schedule: 3 days 8:00am-4:00pm; 2 days 4:00pm-12:00am
Essential functions of this job include, but are not limited to:
Effectively orients and trains supervised employees in job duties.
Conducts effective and timely performance evaluations in collaboration with the clinical supervisors and processes paperwork appropriately for supervised employees. Coordinates performance evaluation meeting with Behavior Health Specialist (BHS), Treatment/Clinical Assistant, and Enrollment and Program Specialist (E&P), and other supervisors.
In collaboration with the clinical team effectively addresses disciplinary issues with supervised employees; accurately and thoroughly documents and processes disciplinary actions in a timely manner and in accordance with policies and procedures.
Ensures supervised employees meet minimum training requirements and monitors training attendance.
Process payroll and handles time card issues for supervised employees.
Conducts and coordinates on-the-job training for supervised staff. Forwards completed training plans to the Staff Development Department. Conducts other training as needed. Follows up as necessary.
Ensures that newly hired Treatment Assistants and BHSs obtain their CDCAs and or QMHSs within the required timeframe.
Develops and conducts in-service trainings, in conjunction with Staff Development, to meet Agency training needs.
Provides effective in-service training for staff in areas such as new policies/procedures/contract/accreditation requirements.
Assists with processing grievances and complaints in a timely manner.
Communicates all performance concerns to Clinical Coordinator, Clinical Administrator and or Clinical Manager.
Participates on interview panel for supervised employees.
Ensures facility is appropriately staffed; maintains and posts supervised staff schedule in an accurate and timely manner. Ensures shift minimums are met.
Monitors overtime to ensure hours are within established range for the facility. Requests advance approval from supervisor if overtime is to exceed established range for the facility.
Secures shift coverage for supervised staff as necessary.
Posts, assigns, and ensures that activities for supervised staff have been completed; including, but not limited to: intakes, alco-sensor tests, urine drug screens, room searches, vehicle searches, pat downs, man down drills, fire drills and emergency drills, in accordance with established policies and procedures.
In all non-clinical areas develops, implements, and monitors a quality assurance program to ensure all procedures and required documentation adherence. Conducts quality assurance reviews, at a minimum, monthly. Communicates findings to supervisor.
Assists Clinical Coordinator/Clinical Director/Administrator/Manager with reviewing program procedures and client programming.
Develops, implements, and monitors procedures to ensure cleanliness and sanitation of the facility at all times.
Conducts facility walkthroughs on a regular basis on various shifts. Addresses sanitation and/or safety issues as necessary. Completes maintenance requests when needed.
Conducts frequent rounds of the facility, checks for unsafe conditions and cleanliness, and documents and corrects conditions/takes steps to correct conditions as required.
Assists with the preparation for facility audits. Ensures the facility is audit ready. Ensures the quality of audit documentation collected by supervised staff is acceptable.
Assists the Clinical Coordinator and Clinical Director/Administrator/Manager with the preparation of accurate monthly, quarterly, and annual reports.
Coordinates with the Carelogic Clinical Administrator and Billing Department to address any billing related concerns, system update needs, and general Electronic Billing communication needs in an effective and timely manner.
Conducts client meetings in the absence of the Clinical Coordinator/Clinical Director/Administrator.
Resolves issues within scope of authority that may occur during a shift and informs supervisor of status and/or any needed follow up in a timely manner.
Effectively communicates emergency situations in a timely manner to Clinical Coordinator/ Administrator/Manager/Director as required.
Participates in facility on-call rotation.
Participates in supervisor rotation for monthly unannounced visits. Addresses immediate issues as necessary. Completes documentation of check and forwards same to supervisor.
Assists Clinical Coordinator Clinical Administrator/Manager/Director with reviewing program procedures and client programming. Assists with developing facility goals.
Conducts new client orientation groups as necessary.
Implements and improves Agency practices and systems to maximize staff efficiency.
Completes all required Quality Assurance and Continuous Quality Improvement measures as assigned.
QUALIFICATIONS:
Bachelor’s degree in Psychology, Behavioral Sciences, Education, or related field or High School Diploma/GED and three (3) years direct residential and or clinical experience required. Must be eligible and willing to obtain a CDCA within three (3) months of working in the facility. Flexible schedule of evening hours and some weekend hours. Must possess valid Ohio driver’s license, reliable transportation, and a driving record that does not preclude the employee from being covered by Agency liability insurance. Must be willing and able to perform the functions of a Treatment/Clinical Assistant. Must have the ability to effectively work with Agency employees, outside contacts, and a diverse client population.
