Job Summary
We are seeking a highly skilled Executive Assistant to provide comprehensive administrative and operational support for our Dallas, TX office. This role is essential in enabling our executives to focus on high-level priorities by effectively anticipating work flow needs, prioritizing tasks, and managing time-sensitive responsibilities.
Role and Responsibilities
The successful candidate will be responsible for a variety of tasks, including but not limited to :
- Professional Representation : Greet visitors and represent the company with professionalism.
- Point of Contact : Serve as the liaison among executives, employees, clients, and external partners.
- Calendar Management : Manage executive calendars, schedule meetings, and coordinate videoconferencing.
- Travel Arrangements : Organize travel and accommodation for employees, candidates, and visitors.
- Expense Tracking : Monitor expenses and workflows and prepare monthly reports.
- Communication Formatting : Prepare internal and external communications, including memos, emails, presentations, and reports.
- Project Management : Complete projects and special assignments by establishing objectives and coordinating with team members.
- Supply Management : Oversee office supplies, maintenance, mailing, and other errands.
- Office Efficiency : Ensure efficient office operations through planning and execution of equipment procurement and office systems.
- Vendor Relations : Manage relationships with vendors and service providers to ensure timely invoicing and payments.
- Additional Support : Assist with facility maintenance and general office duties, including answering calls and ordering supplies.
Qualifications and Education Requirements
Physical Demands
The role requires the ability to sit, stand, and walk regularly, along with effective communication skills. Candidates must be able to lift light objects (up to 25 lbs) and use standard office equipment. Additionally, occasional bending, twisting, or stooping may be required.
Work Environment
The office environment is generally quiet and temperature-controlled, with occasional noise or temperature variations. Employees are expected to adhere to a regular schedule (Monday – Friday, 8 am – 5 pm ET) and may need to work extended hours based on company or project demands.
