Position Summary
Provide sales support to investment representatives including processing and opening new Broker-Dealer accounts; schedule client appointments and respond to client inquiries; prepare client reporting and provide administrative support for seminars and meetings.
Qualifications
High school diploma or equivalent.
Minimum one (1) year experience in related field. Experience in a customer service role may substitute. Series 7/63 license and Life/Health license preferred.
Good reading, verbal and written communication, mathematical, interpersonal relations and PC skills; proficient working knowledge of Microsoft Office; diligent attention to detail pursuing quality in accomplishing tasks; take ownership of the quality and timeliness of work performed.
Essential Duties
Manage calendars, coordinating and scheduling client and vendor appointments. Prepare effectively and efficiently for client meetings which includes, but is not limited to, running investment account reports, creating documents utilizing Excel, preparing applications and forms.
Build constructive working relationships with clients and investment companies characterized by a high level of acceptance, cooperation and mutual respect, whether online, telephone or in person, to ensure the completion of paperwork; conduct prompt follow-up.
Prepare overnight packages to send new account paperwork and checks to various investment companies; maintain and update Daily Sales Logs; scan, index and maintain client files in appropriate order; update and order sales literature as required.
Coordinate specific work tasks with personnel from applicable departments to ensure the smooth and efficient flow of information; report pertinent information to immediate supervisor; compile information as necessary or directed and provide data to appropriate Bank personnel; respond to inquiries relating to the particular area and requests from customers, other Bank personnel, etc., within given time frames and established policy.
Attend regularly scheduled coaching and counseling sessions held by supervisor to achieve the outcome of improved communication, action plan development, positive feedback and performance improvement.
Abide by the current laws and organizational policies and procedures designed and implemented to promote an environment that is free of sexual harassment and other forms of illegal discriminatory behavior in the work place; support risk management practices and overall safety and soundness and the Bank’s compliance with all regulatory requirements. Ensure that the department and all personnel adhere to the same; perform tasks that are supportive in nature to the essential functions of the job which may be altered or redesigned depending on individual circumstances.
