SUMMARY
Works under the general supervision of the Administrators. Coordinates the activities pertaining to registration and scheduling of pre-operative patients as well as post-operative medical records.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- To provide for smooth functioning of the front office area. The duties include but are not limited to the following.
- Opens-up the front office area each morning.
- Registers all patients at front desk.
- Reviews pre-registration information for all patients.
- Directs all incoming telephone calls and all front desk communication activities.
- Organizes front desk work area.
- Orders office supplies as needed.
- Responsible for self-pays (paper work, collecting of fees).
- Completes daily look-up of previous patient visits in computer system.
- Pulls all previous patient records prior to day of surgery.
- Sorts all incoming mail and fill requests as needed.
- Performs mail interoffice delivery.
- Prepares post-operative charts.
- Prepares pre-operative labels/charts for next day.
- Process Attorney, Insurance, and Medical Requests.
- Coordinates H&P and charts retrieval with physician offices.
- Communicates pre-admission information appropriately to anesthesia staff.
- Schedules all surgery cases for surgery center via telephone and fax.
- Types, revises, and distributes all daily schedules.
- Communicates all schedule changes to Anesthesia Staff, OR, RR and Pre-op.
- Assists in preparing post-operative medical records.
- Performs filing of completed post-operative charts.
- Completes all post-operative chart audit reviews.
- Process all credentialing and verification information for the CSC Medical Staff, including PAs and CRNAs
- Maintain credentialing documents for the CSC Staff in accordance with Joint Commission standards.
- Maintain renewals of Medical Staff’s state license, DEA number and malpractice insurance.
- Communicate with surgeon’s office staff to obtain all pertinent information as needed.
- Prepare and distribute written correspondence to surgeons regarding privileging status in CSC.
- Prepare and distribute delinquent operative report notices as needed.
- Closing and locking office at the end of each day.
MISCELLANEOUS DUTIES
- Participates as team member for continuous improvement of office operations.
- Attends regularly scheduled staff meetings and inservices.
- Performs miscellaneous office duties as assigned.
- Fulfill attendance requirements and adhere to time schedule.
- Demonstrate a teamwork approach to duties by taking the initiative to help co-workers perform non-patient care activities with minimal direction or supervision.

EDUCATION AND EXPERIENCE
- High school diploma or general education degree (GED).
- Previous experience working in medical office.
- Previous experience as a medical secretary preferred.
- Strong customer service orientation.
- Strong telephone communication skills.
- Ability to effectively prioritize work tasks.
