What are the responsibilities and job description for the PT FRONT DESK position at OrthoAlliance MSO, LLC?
South Bend Orthopaedics has an immediate opening for a full-time PT Front Desk. Excellent customer service and phone etiquette are a must. Must have ability to travel to both SBO locations (South Bend and Mishawaka) and be able to work flexible hours, as Therapy is open from 7am-7pm Monday through Thursday and 7am-5pm on Friday.
BASIC FUNCTIONS: Responsible for all office services in the physical/occupational therapy department including mobile check-ins, greeting patients, answering phones, collecting demographic and insurance information, co-pays, obtaining work comp authorizations, code research, charge entry, scheduling patients, scanning documents and communicating with other departments.
ESSENTIAL FUNCTIONS:
Greets patients and visitors in polite, prompt, helpful manner. Provides any necessary instructions/directions. Notifies therapy clinic of patient’s arrival and/or cancellations
Registers new patients and checks in established patients. Performs full registration for outside referrals, including but not limited to, obtaining correct ICD 10 codes, current insurance information and demographics. Uses computer system to generate information necessary for billing.
Must be able to adapt quickly and be knowledgeable regarding constant changes with all current insurance company policies and regulations.
Answers phones in pleasant manner, deals with customer-based needs expeditiously and schedules therapy appointments.
Updates patient insurance information and demographics, collects and records co-payments, provides any necessary forms needing completion, and obtains signatures as necessary.
Maintains a clean, orderly waiting area including beverage area and reading materials.
Coordinates services with other departments, outside referrals and other agencies.
Works closely with Workman Compensation adjusters and nurse case managers to maintain physical therapy appointments/schedules and authorizations for work comp patients. Assembles WC claims with proper documentation to assure claim is paid properly.
Accurately enters therapy charges for all PT/OT therapists on a daily basis.
Scans current/discharged patient charts and notes.
Preps charts for new patient evaluations.
Processes daily notes, progress notes and evaluations for doctors’ signatures and insurance company requests.
Works closely with therapists to make sure patient medical needs are met.
Communicates with OT Department and Hand Surgeons to ensure custom ordered splints are authorized and scheduled.
SKILLS and ABILITIES:
1. Must be able to multi-task at all times.
2. Ability to communicate clearly in person as well as on the phone and to establish/maintain cooperative relationships with patients, families, therapists, physicians, staff and other customers.
3. Ability to organize and prioritize tasks effectively.
4. Navigate and comprehension of computer software systems in office setting, prefer 50wpm typing skill.
5. Knowledge of insurance coding and the ability to communicate information clearly with adjusters and nurse case managers.
