We are looking for a full-time Medical Administrative Specialist (Receptionist) to join our team in our Plant City Office
QUALIFICATIONS:
Knowledge: Must have knowledge of the mission, vision, values, and commitments of the Orthopaedic Medical Group of Tampa Bay. Knowledge of the following is required: Principles of customer service, clerical procedures, obtaining referrals, medical ethics, medical record administration, appointment booking, guidelines for release of medical information, and applicable information systems.
Education: Successful completion of the approved Medical Assistant or Medical Admin Program is desired.
Experience in the clerical field required.
Training: Completion of American Heart Association Cardiopulmonary Resuscitation Course is mandatory. Working knowledge of introductory word processing and database operations is preferred. Completed checklist for all administrative and EMR processes.
Essential Duties and Responsibilities:
- Supports providers with all administrative functions.
- Reviews, files and coordinates medical information.
- Completes required data entry to electronic medical record.
- Receives, distributes information in a timely and efficient manner to facilitate continuity of care.
- Maintains health records and storage and retrieval system.
- Participates with OMG members in providing, assessing and improving customer services/relations with our customers.
- Assists in management of communication between patient-provider, insurance, and ancillary departments.
- Greets and checks-in patients and clients with a pleasant and friendly demeanor.
- Collects identification documents and makes copies if needed.
- Creates medical records and ensures appropriate documents and diagnostic reports are available prior to appointment or validates patient will bring.
- Reviews patient demographics to match the EMR.
- Preps and completes all medical charts before the assigned provider’s scheduled appointments.
- Verifies insurance to include matching date, policy number, expiration and correct company.
- Collects co-pay, paperwork and any other monies required to be paid by patient.
- Assist patients with minor concerns/complaints and elevates as necessary.
- Schedules follow up appointments. Enters referrals, medications and provides patients with a copy per provider’s direction.
- Gives patient direction on what return paperwork and or ancillary results are needed prior to follow-up appointment.
- Reviews all patient demographics to make sure it matches the EMR system.
- Ensures all workers comp paperwork is completed and copies given to patient and insurance companies.
- Enters data into the EMR system as necessary, ensures completion of patients’ record on a daily basis.
- Assist patients with filling out feedback paperwork, minor concerns/complaints and elevates as necessary.
- Ensures proper management, security, the confidentiality of medical records.
- Will be personally accountable to ensure correct data is entered into the electronic record system and completion of daily duties.
Work Environment
This job operates in a professional clinical environment. This role routinely uses standard office equipment such as computers, tablets, phones, photocopiers, filing cabinets, and fax machines. Ability to work a flexible schedule.

POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time, non-exempt position. Days and hours of work are Monday through Friday, 8 am to 5 pm but may vary. Occasional overtime may be required and/or hours may be shortened as business needs dictate.

Pay: $16.00 - $18.00 per hour
Expected hours: No less than 40 per week
