**Schedule:** Monday – Friday, 8:00 A.M. – 5:00 P.M., with early and later shifts based on patient appointments
Position Summary:The Surgical Coordinator is responsible for facilitating the urgent surgical process for patients requiring operative care, including scheduling, insurance authorization, patient education, and pre-op documentation. The role works closely with the Surgical Scheduling team, providers, clinic staff, patients, and external teams to ensure high-quality surgical preparation and follow-up. This position also supports the Worker’s Compensation Coordinator when necessary.
This position requires compliance with OrthoEast’s compliance standards, including its Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element required as part of the job duties and considered during performance evaluations.
Essential Duties and Responsibilities:· Monitor all aspects of surgical scheduling for providers through our scheduling system, ensuring complete and accurate processes.
· Act as the primary contact for surgical patients when requested—educating them on expectations, paperwork, and pre-op preparation.
· Obtain and track all necessary pre-authorizations, medical clearances, and diagnostic testing required for Trauma surgeries or special instances.
· Collaborate with the Surgical Scheduling Team on surgical scheduling for all patients, ensuring proper protocols are adhered to and any questions are answered.
· Proactively identify scheduling gaps, delays, or authorization issues and escalate as needed.
· Maintain a current surgery log in Surgimate and track all pending procedures to monitor throughput and identify bottlenecks.
· Provide assistance to the Worker’s Compensation Coordinator during their absence or peak periods.
· Other duties as required.
Qualifications:· Bachelor’s Degree in Health Administration or related field preferred.
· Minimum 2 years in medical scheduling, surgical coordination, or care navigation.
· Strong understanding of pre-operative workflows, surgical scheduling processes, and insurance coverage.
· Proficiency in Microsoft Office Suite and EMR systems.
· Excellent interpersonal and organizational skills.
· Ability to provide compassionate guidance to patients through the surgical process.
