In support of high-quality patient care, we are currently seeking an experienced Registration Manager to support our organization. Fast paced and challenging, you will interact daily with our physicians, patients, and other departments.

The Registration Manager has an oversight of the registration functions for Orthopedic Associates of Hartford. This individual aids in setting goals, priorities, performance standards, policies and procedures for the following functions : pre-registration, insurance / benefit verification, registration and insurance eligibility notifications, and any related eligibility denial support. The Registration Manager ensures that accurate registration data is obtained, patient experience protocols are followed, and registration errors are worked in a timely manner to reduce registration-related denials. This position has key responsibilities that directly impact reimbursement and the financial performance of OAH.

This individual will be involved in departmental and interdepartmental process improvement teams to eliminate waste and improve efficiency. They will work closely with revenue cycle management to align revenue cycle processes to present a unified patient experience and consistent capture of data. Additionally, the position will work in conjunction with Epic community connect partners to ensure their needs are met.

Management and Training

Manage and develop Registration team lead(s) and staff. Monitor staff engagement and implement ideas for improvements.

Assist with making hiring decisions to maintain adequate staffing in the department.

Provide timely performance improvement feedback and coaching to include encouraging and commending staff for excellent performance

Respond to escalated employee and patient issues / questions / concerns.

Oversee the development of training materials and ongoing assessments; regularly review training materials to include new methodologies and concepts.

Actively seek and schedule staff development opportunities, including those outside the department that would be beneficial for staff members to attend. Identify focus areas for competency assessments; provide training opportunities addressing areas highlighted by these assessments.

Development and implementation of policies and procedures

Develop, recommend and implement policies and procedures for the department. Monitor adherence to policies and established procedures. Propose methods which assure effective execution of responsibilities.

Update policy and procedure manuals as required. Apprise staff of changes. Ensure alignment with existing Orthopedic Associates of Hartford policies and procedures.

Keys areas of responsibility

  • Ensure that patient experience and service standards are met.
  • Continuously gather, monitor and analyze departmental and program specific productivity and quality of service statistics.
  • Monitor the accuracy of demographic and insurance information obtained by staff for patient registration.
  • Investigate errors, suggest changes and / or implement solutions to encounter problems.
  • Support billing edits to ensure accurate and timely claims submission.
  • Daily oversight of pre-registration and eligibility processes.
  • Proactively track, manage and reduce registration related denials.
  • Escalate issues to Revenue Cycle leadership when appropriate.
  • Keep abreast of insurance, and billing requirements.

  • Request system enhancements as needed to facilitate accurate registration.
  • Lead process improvement projects and assist with software implementation, upgrades, enhancements, and usability testing.
  • Responsible for the development, implementation and management of the Registration department.
  • Completes weekly schedule.
  • Maintain the Master schedule for providers.
  • Works closely with all operational departments, partner with the Medical Executive Assistant department.
  • Work with the Business Office to resolve registration errors
  • Support urgent care schedule and staff
  • Oversee Registration Team Leads training operations
  • Additional certifications as necessary
  • Perform other related duties as required
  • Requirements

    Required

    Bachelor's degree or equivalent knowledge and skills obtained through a combination of education, training, and experience in a Healthcare environment required.

    Minimum five (5) years of experience in a health care setting or three years of related experience in a leadership role.

    Preferred Experience

    Five (5) years of management experience in Patient Registration and revenue cycle operations in a health care environment.

    Certification in Epic Prelude and / or Cadence. Project Management Professional certification
