What are the responsibilities and job description for the Medical Document Processing Specialist position at Orthopedic One?
Responsible for document management including tracking, proof-reading, printing and filing documentation to insure complete and accurate documentation in patient record. For STAT dictation requests, responsible for the accurate and timely transcription of patient medical information, correspondence and reports using word-processing software.
- RESPONSIBILITIES AND ACCOUNTABILITIES
- Facilitates Workflow :
- Forward completed progress notes and letters as indicated by company policy and procedure. File in chart then notify physician support staff.
- Accurately tracks returned transcription and follows up with transcription vendor regarding dictation not returned.
- Communicates with provider offices regarding missing dictation, text omissions from dictation or other missing information.
- When progress notes, telephone notes, or other transcribed text is completed, follows workflow to ensure transcribed text arrives into EMR patient record via secure interface.
- Manages failed delivery of documents by contacting PCP / Referring provider office to obtain corrected address / phone / fax information; updates EMR PCP / Referring provider profile information within the EMR and resends document as indicated.
- Supports troubleshooting documentation processing concerns and updating provider information with the EMR and the transcription vendor systems as needed.
- Maintains knowledge of word processing software and other programs used for transcription (Microsoft Word) and EMR.
- Provides excellent internal customer service, including timely responses to requests from providers and staff throughout the day.
- Print / view clinic schedule by provider for accurate tracking of returned transcription and follows up with transcription vendor regarding dictation not returned.
- May perform project work assigned by leadership including coverage of other HIM staff as needed.
- Problem-solving :
- Researches potential reasons for identified discrepancies by listening to voice files, verifying initial download and hardcopy schedule data, comparing to documents in transcription drives, reviewing patient charts or practice management system, using various tools provided.
- Corrects documents identified through quality reviews or as directed by physicians' office using best practice guidelines for edits, amendments and addendums.

Transcription :
1. Maintains knowledge of word processing software and other programs used for transcription (Microsoft Word, Excel) and electronic medical record (EMR).
Documents voice file downloads for tracking purposes.
Proofreads transcribed text to identify typographical errors, inconsistencies and omissions; researches potential reasons for identified discrepancies.
Teamwork :
Willingly provides coverage, volunteers assistance, and maintains workflows within department as needed without direct instruction / supervision.

Education, Experience, Certification and Licensure Requirements :
High School Diploma or equivalent required with a minimum of two years of medical transcription experience or commensurate experience with medical terminology. Prior experience in an orthopedic surgical practice is highly desirable. Prior experience with Microsoft Office including Word, Outlook, and Excel and electronic medical records system is required.
