About the Role:
We’re looking for an enthusiastic and detail-oriented Patient Care Coordinator to join our team! In this role, you’ll be at the heart of our patient care experience—helping patients navigate their journey with us while ensuring smooth clinic operations. This role also includes making outgoing phone calls to patients, which makes some sales experience a plus. Additionally, you’ll function as a Physical Therapy Aide as needed (don’t worry, training will be provided).
Location & Travel:
Our main office is located in Los Gatos, but this role will require travel between Los Gatos and our Morgan Hill location. There may be times when your primary job functions will be performed in Morgan Hill.
Schedule:
Monday - Friday | 9:00 AM - 5:00 PM (hours subject to change)
Key Responsibilities:
- Be the First Point of Contact: Welcome patients and visitors warmly, creating a positive first impression of our practice.
- Scheduling & Coordination: Manage appointment schedules efficiently, ensuring seamless clinic flow.
- Patient Engagement: Make outgoing phone calls to patients for follow-ups, appointment reminders, and other needs.
- Insurance & Billing Support: Verify insurance coverage, manage authorizations, and confidently navigate out-of-network policies.
- Record Management: Maintain and update electronic medical records with precision.
- Customer Service: Answer phone calls and emails, address inquiries, and resolve any patient concerns with care and professionalism.
- Assist as a PT Aide: Support our physical therapy team with basic aide responsibilities when needed (training provided).
- Contribute to Office Efficiency: Keep the clinic organized and ensure it operates smoothly.
What We’re Looking For:
- Experience: Prior experience in a medical office, customer service, or sales role ( or healthcare is a big plus).
- Insurance Knowledge: Familiarity with verifying insurance and understanding out-of-network policies.
- Tech-Savvy: Proficiency in Microsoft Office and electronic medical records systems.
- People Skills: Strong communication, empathy, and the ability to multitask while staying solution-focused.
- Team-Oriented: A collaborative mindset with a willingness to contribute to our team’s success.
- Flexibility: Ability to travel between Los Gatos and Morgan Hill as needed.
