Job Description : We seek a highly skilled Executive Support Officer to provide dedicated support to our Chief Executive. The successful candidate will have excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment.
The Executive Support Officer will manage the Chief Executive's diary and inbox, providing administrative and clerical support. They will also be involved in planning and coordinating senior stakeholder meetings, including the Senior Leadership Team.
Main Duties and Responsibilities :
- Provide high-level administrative and clerical support to the Chief Executive.
- Manage the Chief Executive's diary and inbox, ensuring they are fully briefed and prepared for each appointment.
- Coordinate the management of the Chief Executive's office, including screening telephone calls and post.
- Draft agendas, collate board packs, and maintain forward plans and action logs for senior stakeholder meetings.
- Minute meetings and maintain accurate records of discussions and decisions.
- Work with national governance and local authority partners, as well as a broad range of other stakeholders, to ensure efficient and effective information is conveyed.
- Receive visitors and ensure appropriate arrangements are in place for their reception.
- Maintain office systems to ensure the efficient working of the Chief Executive's office.
- Provide and maintain an up-to-date and accurate filing system, utilizing both manual and computerized systems.
- Record and manage petty cash / P Card expenditure, keeping spreadsheets of outgoing and incoming revenue producing a flow chart of expenditure.
- Liaise with relevant partners and organizations to ensure efficient and effective information is conveyed.
- Help coordinate various events, including researching travel and accommodation, setting up events, arranging, and despatching agendas.
- Liaise with all internal and external contacts, elected members, and the public in a courteous and efficient manner, generating a positive external perception of EMCCA.
- Participate, collaborate, and lead assigned and defined projects relevant to the Chief Executive's office, supporting continuous improvement.
- Flexibly support assigned administrative tasks and duties across the Executive Support team.
