The Rehabilitation Services Department Coordinator is responsible for managing the administrative, operational, and logistical functions of the rehabilitation department. This includes coordinating patient services, managing schedules, ensuring compliance with regulations, and collaborating with other healthcare teams to deliver high-quality patient care.

Typical Schedule

This position is scheduled as needed. Rehab Services Department hours of operation are Monday thru Thursday, 7:00 - 7:00, and Friday, 7:30 - 4:00.

Qualifications

  • High School Diploma or equivalent
  • CPR certification or the ability to acquire
  • Healthcare experience, preferred.

Responsibilities Include:

  1. Administrative Support and Coordination:
    • Oversee the daily administrative operations of the rehabilitation department.
    • Coordinate patient referrals, scheduling of appointments, and therapy sessions.
    • Maintain patient records, ensuring that documentation is accurate and up-to-date.
    • Handle insurance verifications, authorization requests, and billing processes.
    • Support therapists and rehabilitation staff with their administrative needs.
    • Ensure that all patient and staff information remains confidential and complies with HIPAA regulations.
  2. Staff Management:
    • Coordinate staff schedules to ensure adequate coverage for therapy sessions and patient care.
    • Foster a positive and collaborative work environment for rehabilitation professionals.
  3. Patient Care and Communication:
    • Serve as a point of contact for patients, addressing questions or concerns regarding their rehabilitation services.
    • Ensure patients are informed about their treatment plans, session schedules, and progress.
    • Assist in ensuring that all necessary materials and equipment are available for patient sessions.
    • Collaborate with physicians and other healthcare providers to ensure coordinated patient care.
  4. Quality Control and Compliance:
    • Ensure proper documentation for patient assessments, treatment plans, progress notes, and discharge summaries.
    • Stay up-to-date with healthcare regulations and assist in departmental audits.
    • Address any concerns related to patient safety or quality of care.
  5. Departmental Operations and Resource Management:
    • Manage the inventory of rehabilitation equipment, supplies, and materials.
    • Order and track necessary supplies, ensuring that the department runs efficiently.
  6. Coordination with Other Departments:
    • Work with other healthcare teams (e.g., nursing, physicians) to facilitate smooth care transitions for patients.
    • Ensure appropriate communication between the rehabilitation department and other hospital or clinic departments.
    • Participate in multidisciplinary team meetings to discuss patient progress and develop treatment plans.
  7. Patient Education and Outreach:
    • Provide educational materials and resources to patients regarding their treatment options and rehabilitation process.
    • Assist in the development of patient education programs and rehabilitation workshops.

Knowledge, Skills & Abilities:

  • Strong communication and interpersonal skills.
  • Basic computer skills for member management systems, email, and scheduling software.
  • Knowledge of fitness center operations is a plus.
  • Ability to multitask and manage time effectively.
  • Friendly, energetic, and customer-focused attitude.
  • Ability to handle sensitive information with confidentiality.
