Description
Average 5 hours per week during the school year plus 20 hours per week during the summer school session.
- Serve as secretary to the 9-12 summer school principal and assist in office administration.
- Serve as a primary public relations representative.
- Screen callers, make appointments, and route incoming calls
- Provide information on school year and summer school policies and regulations of varying complexity.
- Maintain confidentiality of student and staff information at all times.
- Compose various types of communications to the parents and community from general instructions.
- Effectively and accurately perform all Skyward or Infinite Campus processes and functions in accordance with secretarial effective practices.
- Manage daily attendance/lunch count and attendance reports in Infinite Campus.
- Assist in student registration and transferring in accordance with Wisconsin DPI Regulations.
- Collect data, maintain records, and prepare reports for summer school.
- Manage building keys, key card system, and door access.
- Operate a variety of office machines and supervise use by others.
- Manage activity fund accounting and budget procedures for summer school.
- Aid students who are sick or injured in the absence of a school nurse or health assistance.
- Administer medications and treatment in accordance with school district policy.
- Participate in summer school programs, relevant meetings and activities.
- Participate in shared-decision making and continuous improvement teams.
OTHER RESPONSIBILITIES:
- Maintain list of all 9-12 summer school classes offered for the online registration. Include class descriptions, locations and fees, received from the high school summer school principal.
- Manage and update bus locations and pick up and drop off times from bus company.
- Create and send summer school registration information to all Oshkosh private school secretaries.
- Update and maintain master summer school schedule on IC with classes, locations, room numbers, and teacher names at the high school site.
- Create and maintain student rosters for summer school classes and bus/shuttle pick up locations.
- Create mail merge of students’ classes, room numbers, bus information and general summer school information to mail paper copies home to families and/or refine process to use existing tools used during the school year.
- Create student and shuttle/bus lists for summer school principal, lead teachers, summer school site secretaries, summer school office and bus company.
- Order, assemble and distribute summer school supply inventory needed at the high school summer school site.
- All other duties as assigned.
Qualifications
- Ability to key accurately at a rate of 65 wpm on keyboard preferred.
- High school diploma.
- Minimum of two years successful office or secretarial experience.
- Demonstrated proficiency in communication (speaking, listening, and writing), language, and mathematical skills.
- Ability to interact effectively with students, parents, staff and others encountered on the job.
- Ability to staff the position during all hours required within the business day.
- Computer knowledge and skill in word processing, database, spreadsheet programs, etc.; and ability to adapt to word processing systems in use.
- Ability to maintain accurate and complete records and prepare clear and detailed reports.
- Ability to make appropriate level decisions in absence of principal.
- Skyward, Infinite Campus and Google Drive/sites/Forms experience preferred.
- Such other qualifications as the Board may find appropriate and acceptable.
