Job Summary:
The Receiving, Invoicing, and Bookkeeping Specialist plays a crucial role in the efficient operation of the Oshkosh Food Co-op. This position is responsible for receiving and recording incoming inventory, managing supplier invoices, and maintaining accurate financial records. The ideal candidate should possess exceptional numerical and organizational skills, as well as a strong attention to detail.
Key Responsibilities:
1. Receiving:
- Receive and inspect incoming inventory shipments.
- Verify the accuracy of received products and quantities.
- Ensure compliance with quality and safety standards.
- Collaborate with the procurement team to resolve discrepancies.
2. Invoicing:
- Process supplier invoices and verify their accuracy.
- Match invoices to purchase orders and receiving documents.
- Communicate with suppliers to address billing discrepancies or issues.
- Maintain up-to-date records of all supplier transactions.
3. Bookkeeping:
- Enter financial data into the accounting software accurately.
- Reconcile accounts and statements to ensure accuracy.
- Assist in preparing financial reports and summaries for management.
- Assist in the annual budgeting process.
4. Inventory Management:
- Maintain organized and efficient storage of received goods.
- Monitor inventory levels and coordinate restocking as needed.
- Collaborate with the inventory management team to track and report on stock levels.
5. Compliance and Documentation:
- Ensure compliance with local, state, and federal regulations regarding invoicing and record-keeping.
- Maintain organized and secure records of all financial transactions.
- Assist in internal and external audits as required.
Qualifications:
