Accounting and Payroll Assistant
Job Summary: We are seeking an experienced and detail-oriented Accounting and Payroll Specialist to join our team. The ideal candidate will have hands-on experience with QuickBooks Online (QBO) and a solid background in Accounts Payable (AP), Accounts Receivable (AR), payroll processing, and financial reconciliation. This role involves managing employee timesheets, payroll, financial reporting, and assisting HR with onboarding/offboarding.
Qualifications:
- 2-8 years of experience in handling Accounts Payable, Accounts Receivable, and payroll processing.
- Proven, recent hands-on expertise with QuickBooks Online (QBO) is essential.
- Advanced proficiency in Excel, with a demonstrated ability to create, manage, and analyze comprehensive financial reports.
- Knowledge of payroll laws and overtime regulations across various U.S. states.
- Familiarity with HR processes, including 401k administration, health benefits, and employee onboarding/offboarding.
- Strong ability to efficiently manage and process high volumes of data, including 250 employee timesheets on a weekly basis.
- Competency in reconciling financial statements and overseeing Profit & Loss (P&L) and Balance Sheet management.
- Understanding of Purchase Orders, Budget Proposals, and Change Orders.
Key Responsibilities:
- Payroll Processing: Collect, review, and manage over 250 employee hourly timesheets weekly. Process payroll, ensuring compliance with overtime laws across various U.S. states.
- Accounts Payable and Receivable: Enter and pay bills accurately and in a timely manner. Manage vendor and customer profiles in QuickBooks Online.
- Employee Data Management: Enter and maintain employee profiles, including rates, contributions, and deductions.
- Credit Charges: Enter monthly credit charges and track receipts.
- Commission and Bonus Reporting: Work on commission and bonus reports as needed.
- HR Support: Assist with employee onboarding and offboarding, answer employee questions regarding 401k, health benefits, and other HR-related matters.
- Financial Reconciliation: Reconcile monthly company financial statements, track purchase orders, budget proposals, and estimates.
- Financial Reporting: Create, manage, and update various financial reports, including Profit & Loss (P&L) statements, Balance Sheets, and year-end reporting such as 1099s, W2s, and Workers' Compensation audits.
- Leave and PTO Tracking: Track PTO, sick leave, and manage state-specific leave regulations.
Salary: $60 – $75K (DOE)
Work Hours: 8:30AM to 5:30PM PST (Hybrid Schedule)
