About the Role
The Executive Office Administrator at OSI plays a critical role in ensuring smooth office operations, administrative processes, and company activities. This position requires a highly organized and proactive individual capable of handling a wide range of responsibilities, such as office management, vendor coordination, employee onboarding, benefits administration, travel and event arrangements, and financial support tasks. This person will be directly working with and supporting business leaders; our ideal candidate thrives in a dynamic environment, is detail-oriented, and excels at problem-solving. We’re a small company with little need for hierarchy. Success in this role will come through being flexible, always working collaboratively with others on the team, and finding ways to get things done.
Key Responsibilities
- Arrange corporate events, employee gifts, meeting scheduling, and company-sponsored travel logistics.
- Manage executive calendars and provide ongoing support to leadership with various administrative tasks, errands, and ad hoc projects.
- Oversee office operations including supplies, facility maintenance, vendor management, and compliance with corporate filings.
- Coordinate new hire onboarding including drug & background checks, employee paperwork, I-9 verifications, and benefits enrollment.
- Manage employee benefits administration including health insurance, 401(k), and COBRA.
- Assist with financial tasks such as deposits, petty cash management, expense tracking, and wire approvals.
- Administer corporate accounts including mobile phone plans and credit card accounts.
