Position Summary
The Front Desk Coordinator performs a variety of administrative tasks related to patient care. This role is responsible for communicating with patients, checking them in and guiding them through their appointment process, as well as providing admin support to the clinical staff and management team.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Greeting all visitors, employees, and families in person and on the phone in a positive and professional manner
- Answering telephone, screening and directing calls, taking and relaying messages as needed
- Returning calls to patients for appointments, follow ups, questions, supplements, and any other needs
- Liaising between teams, making sure communication does not fall through the cracks as much as possible
- Optimizing patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
- Ensuring availability of treatment information by retrieving and updating patient records
- Notating pricing and any other pertinent patient information in the comments section for upcoming appointments
- Conducting appointment reminder calls for future appointments
- Verifying patients’ insurance eligibility and benefits prior to their appointment
- Notifying clinical staff of patient arrivals
- Comforting patients by anticipating anxieties and effectively answering questions
- Checking patients in for their appointments, including gathering all forms from the patient to make sure everything necessary is filled out and organized
- Checking out patients, including payments, scheduling future appointments, and answering any questions
- Collecting, processing, and posting payments for all services rendered both in person and over the phone
- Maintaining a system of controls for cash receipts, and daily reconciliation processes to ensure proper handling of monies received
- Signing-in packages delivered and notifying staff of delivery.
- Maintaining knowledge of all services to provide accurate and timely information to callers and visitors
- Organizing and maintaining a tidy and professional appearance of the reception area
- Other duties as necessary to achieve practice needs and goals
