Work Activities:
Client communication
- Serve as the primary point of contact for clients, providing updates on treatment progress and case status.
- Respond promptly to client calls, texts, and messages.
- Schedule meetings between attorneys and clients, including in-office and in-home visits.
- Facilitate monthly treatment updates and maintain open communication throughout the case lifecycle.
- Conduct recorded calls with insurance companies and coordinate calls with doctors during the treatment process.
Treatment Process Coordination
- Maintain accurate and up-to-date treatment records for all clients.
- Monitor and document treatment updates to ensure cases are progressing appropriately.
Insurance Company Communication
- Draft and submit Letters of Representation (LORs) and letters of preservation.
- Respond to inquiries from insurance adjusters through calls and correspondence.
- Manage property damage (PD) and medical payment (MP) claims, subject to attorney approval.
- Inquire about policy limits and ensure timely communication regarding demands.
Demand Preparation and Follow-Ups
- Prepare case files for demand submission and coordinate with EvenUp for final demand letters.
- Confirm demand submission preferences with insurance companies.
- Follow up on demands when insurers are unresponsive to ensure timely case resolution.
Organize and Maintain Client Files
- Review and organize medical records daily.
- Summarize client expenses and update as needed.
- Request and review FOIA/police reports, DMAS letters, CMS cases, and other health insurance documents.
- Track and address liens and work with Archtrieval to ensure accurate record retrieval.
- Collaborate with the Records Specialist to resolve issues related to incomplete or missing records.
Help Develop Client Damages Model
- Prepare summaries of evidence (SOEs) and calculate lost wages.
- Collaborate with attorneys to identify and document key damages for each case.
Liability Investigation
- Identify and interview witnesses.
- Request and monitor traffic court conviction records.
- Draft and submit letters of preservation.
Settlements
- Prepare and manage disbursement documents.
- Confirm lien balances and oversee Medicare set-aside accounts as necessary.
- Ensure all settlements comply with legal and procedural requirements.
Completing Administrative Tasks:
- Scanning documents
- Scheduling phone calls, meetings, mediations, trial dates, etc.
- Creating electronic documents
- Organizing electronic documents
- Calling and emailing various outside contacts: attorneys, paralegals, court staff, etc.
Active Learning:
- Attending occasional conferences and seminars
- Reading various books on teamwork and business
- Weekly/Monthly meetings

The Lynchburg case manager paralegal job will work with a variety of people, mainly attorneys, court staff, paralegals, referral sources, current clients, past clients and potential clients. The hours will be 8:00 AM to 5:00 PM Monday through Friday (business hours) with one hour provided for lunch.
Work performance:
Performance in this position will be evaluated by Hannah Bowie, Esq./Cameron Andrews, Esq. Performance will be evaluated on the following:
