Job Summary :

Manages the OSU-OKC Program Student Support Services (SSS) Project SOAR. Will work in conjunction with Senior Director to coordinate plans, set a program budget, and implement a comprehensive program of academic and social services to participants. Areas of responsibility include, but are not limited to supervision of program employees, academic advising, program planning, transfer guidance, publications, program evaluation, goal clarification, student advocacy, public relations, connecting participants with third party services and coalition building.

Essential Job Functions :

  • In conjunction with Senior Director establish and maintain the office system to include participant records, personnel records, fiscal accounting, computerized records and other office records according to EDGAR and OSU-Oklahoma City regulations.
  • Administer and / or coordinate academic and career assessments for program participants.
  • Maintain documentation of services provided and student records to include : reasons for selection, student assessment records, attendance records, family eligibility compliance, entrance and exit interviews, tracking and follow-up records for all former participants as required by grant.
  • Work in collaboration with Senior Director to establish program goals, budget, and academic needs of participants.
  • Responsible for oversight of program staff including but not limited to the hiring, evaluation, scheduling, disciplinary, budget, etc.
  • Responsible for training Project SOAR Staff on use of database (Student Access), Banner, Slate, AppXtender, and other technology utilized by the SOAR Office.
  • Coordinate and organize various program field trips in accordance with Project SOAR Grant guidelines.
  • Conduct individual and small group sessions to address personal, academic and career concerns.
  • Conduct or arrange a variety of skill-building and career-learning activity workshops, seminars, and cultural events aimed at improving the participants' academic and social skills either in person or virtual.
  • Participate in recruiting, selecting, and assessing new participants, and follow them through postsecondary and documents on-going student contact logs via computerized database.
  • Assist SOAR Counselor Coordinator in co-advising student group Student Leaders of Tomorrow (SLT) or other student groups associated with SOAR.
  • Work with OSU-OKC departments on establishing first generation initiatives and programming on the OSU-OKC campus.
  • Refer participants to outside agencies and locations of support if Project SOAR resources or college resources are unable to meet the participant's needs.
  • In conjunction with the Senior Director, serve as liaison to OSU-OKC, and the surrounding community in order to inform them of program activities and participant accomplishments.
  • Collect data and produce information for program reports such annual performance reports, HLC accreditation or grant writing.
  • Completes all mandatory training and participates in a minimum of two professional development workshops each year which may include participation in state, regional, and national TRIO meetings / programs as appropriate.
  • Performs other duties as assigned.

Position Qualification

Education :

  • Bachelor's Degree in Education, Counseling, Psychology, Human Relations, Sociology or related field.
  • Work Experience :

  • Minimum of two years of experience serving populations eligible for SOAR services.
  • Minimum of two years supervisory experience.
  • Minimum of two years of higher education experience.
  • Certifications & / or Licenses

    Valid Oklahoma driver's license and ability to drive a 15 passenger van.

    Knowledge, Skills, and Abilities :

  • Ability to communicate diplomatically, clearly, and effectively, both verbally and in writing to exchange information, give / receive instructions and respond to inquiries appropriately.
  • Strong organization and planning skills with the ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
  • High degree of initiative to work independently and collaborate in a team environment.
  • Strong interpersonal skills and sensitivity to an academic environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • Public speaking ability and skills; must be able to develop and deliver presentations, workshops and seminars to participants, families, peers, and the general public.
  • Familiarity with matrix of the participants in the target area.
  • Understanding of higher education enrollment procedures including but not limited to : admissions, academic advising, Financial Aid, FAFSA, OK Promise and transfer equivalencies.
  • Effective problem-solving skills.
  • Knowledge and efficiency in maintaining databases.
  • Ability to provide educational, career and academic counseling.
  • Ability to handle confidential information discreetly in a busy student-centered office.
  • Basic computer skills to maintain SOAR Database, create workshops, handouts, flyers, and coordinate meetings with students and the OSU-OKC Campus.
  • Ability to easily transition from in person to virtual setting to address students' needs, present workshops, and conduct meetings with other community partners.
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
  • Demonstrated history of ethical and professional behavior.
  • Preferred Qualifications :

  • TRIO experience.
  • Educational grant management and writing experience.
  • Bilingual – Spanish
  • Master's Degree.
  • Working Conditions :

  • Work is primarily performed in an office environment with a significant amount of contact in person, by telephone and via email.
  • Must be able to work flexible hours to include some nights and weekends.
  • In-state travel includes exposure to outside conditions as relates to program cultural events and activities. Occasional overnight stay may be required.
  • Occasional out-of-state travel for staff training and cultural trips with students.
  • Physical Requirements :

  • Duties require extended periods of sitting, talking and listening.
  • Duties require extensive use of computers, telephone and other office equipment.
  • Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
  • Driving vehicles with students to and from events.
