Schedule: 7:00 a.m. - 3:30 p.m., Monday-Friday
Position Summary:
Under the supervision of the Building Principal, the Middle School Secretary provides secretarial assistance to support main office activities. The assists with athletic/activity scheduling, update student physical/athletic forms, facility use permits/usage, and scheduling substitute teachers. The Middle School secretary assists in the operations of the middle school athletic program, performs a variety of responsible administrative, secretarial, clerical, and receptionist duties, and responds to inquiries from students, parents, staff, and the general public; and to do related work as required.
Additional Information:
- High School Diploma or GED required.
- Schedules substitutes for teacher absences, ensuring coverage for all classes and minimizing disruption.
- Schedules paraprofessional substitute vacancies when requested by Principal or teaching staff.
- Coordinates flow of communications between parents, students and the public; responds to inquiries and provides information to teachers, students and the public.
- Acts as secretary to the Assistant Principal/Activities Director and as his/her liaison between students, parents, coaches, staff members, and the public.
- Focuses on solving conflict; maintaining confidentiality; listening to others without interrupting, keeping emotions under control; remaining open to others’ ideas and contributing to building a positive team spirit.
- Prepares sport schedules; communicates schedules and any changes to administrators and secretaries throughout the season.
- Maintains a list of sports pass holders; ensures list is available at the gate for ticket sellers at all events.
- Communicates information regarding athletic physicals; collect and receipt in all moneys for physicals; helps to ensure students have current physical on file in athletic office.
- Monitors bus communications. Conveys information as needed.
- Sends all tournament/special events information out to athletic directors, coaches, and press.
- Works well with others from diverse backgrounds.
- Conducts routine clerical duties including but not limited to, composing/compiling/sending correspondence, scheduling appointments, compiling reports, sorting/distributing mail, operating and trouble-shooting standard office machines, filing documents, answering/screening/directing telephone calls, etc.
- Assists school office personnel and/or designees in the performance of their functions and responsibilities.
- Upholds board policies and follows administrative guidelines/procedures.
- Promotes a professional image of the school district and athletic program.
- Other duties as assigned or deemed necessary
