Military Account Specialist

The Role

We are seeking an experienced Account Specialist to join our team, supporting our inside sales and quoting functions within a technical manufacturing environment. In this role, you will work closely with customers, suppliers, and internal teams to prepare accurate quotes, review specifications and schematics, and ensure smooth communication throughout the sales process. You will be instrumental in maintaining and updating critical data in our ERP and CRM systems while delivering exceptional customer service. Your ability to manage multiple tasks, attention to detail, and commitment to meeting deadlines will contribute to our sales success and overall customer satisfaction.


Essential Job Functions


Quoting and Customer Communication

  • Collaborate with customers via email, phone, or Zoom (primarily email) to resolve project challenges and clarify material specifications during the bidding and building process.
  • Read and interpret specifications and blueprints to understand customer needs and project requirements.
  • Prepare and deliver accurate quotes using MS Excel and ERP systems, ensuring alignment with customer requirements and specifications.


Vendor and Supplier Coordination

  • Source competitive pricing and availability for required materials from suppliers, including additional services like testing as needed.
  • Maintain and update vendor pricing and cost data within the ERP system to ensure accurate quoting and order processing.


Data and Process Management

  • Maintain the company’s database of customer information, part numbers, and supplier data through the ERP system.
  • Create and manage new part numbers and records for quoting purposes, transitioning data into the system for booked orders.
  • Accurately enter Bills of Materials (BOM) and labor steps into the ERP system.


Order Management and Follow-Up

  • Track and follow up on outstanding quotes to determine project status and maximize conversion to bookings.
  • Address client inquiries regarding the status of orders, payments, credits, and post-sale issues to ensure high customer satisfaction.


Continuous Improvement and Analysis

  • Contribute to sales forecasts by collaborating with outside sales teams and ensuring accurate data entry.
  • Conduct post-mortem analyses on margins and completed orders to identify variances and opportunities for improvement.
  • Stay updated on the company’s product offerings and capabilities to identify growth opportunities within existing accounts.


Reporting and Administrative Tasks

  • Generate routine reports on quoting activity, including insights on deltas and reasons for margin variations.
  • Review and interpret RFQs, customer terms and conditions, and contracts, escalating for management approval as needed.

  • Customer Focus: Strong interpersonal and communication skills, both verbal and written, with a commitment to providing exceptional service.
  • Technical Proficiency: Ability to read and interpret schematics and blueprints; highly proficient in MS Excel, including formatting and data presentation.
  • Analytical Skills: Strong problem-solving abilities and attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Collaboration and Teamwork: Proven ability to work effectively in a fast-paced environment, with a professional image and a sense of humor appreciated.
  • Process Management: Familiarity with ERP systems (e.g., Epicor, Global Shop Solutions) and CRM tools (e.g., Sugar CRM), with a willingness to learn new systems quickly.


Education and Experience

  • Minimum of 2 years of experience in inside sales or sales support, ideally within a technical manufacturing or electronics industry environment.
  • Knowledge of electrical components or cable assemblies is considered an asset.
  • Diploma or degree in a technical field, preferably in electronics engineering considered an asset.
