Job Overview
We are looking for a strategic and detail-oriented Event Coordinator to oversee all aspects of event planning, execution, and post-event evaluation. The ideal candidate will be responsible for managing healthcare conferences, community outreach events, fundraising initiatives, and networking gatherings.
This role requires strong project management skills, vendor negotiation expertise, event marketing knowledge, and budget management experience. The Event Coordinator will play a vital role in enhancing our brand visibility, community engagement, and fundraising efforts.
Key ResponsibilitiesEvent Planning & Coordination
- Plan and execute a variety of healthcare-related events, including community health fairs, wellness workshops, senior care seminars, fundraising galas, and corporate networking events.
- Handle venue selection, vendor coordination, catering, and logistics management to ensure seamless event execution.
- Develop detailed event timelines and oversee on-site setup, execution, and breakdown.
- Ensure compliance with health and safety regulations during event planning and execution.
Budget & Contract Management
- Develop and manage event budgets, ensuring that expenditures align with financial constraints.
- Negotiate contracts with vendors, venues, and service providers to secure the best rates and services.
- Track all event-related expenses and generate financial reports post-event.
Marketing & Promotion
- Implement strategic event marketing campaigns using social media, email marketing, and local media outreach.
- Design and distribute promotional materials to increase event attendance and engagement.
- Collaborate with internal teams to ensure that event messaging aligns with the organization’s mission and branding.
Community Engagement & Sponsorships
- Work closely with community leaders, healthcare professionals, and corporate sponsors to enhance event success.
- Identify and cultivate relationships with potential sponsors and donors to support fundraising initiatives.
- Assist in charity and fundraising event planning to help generate financial support for healthcare programs.
Client & Attendee Experience
- Provide exceptional customer service to event participants, ensuring an engaging and memorable experience.
- Gather post-event feedback from attendees, vendors, and partners to improve future events.
- Maintain long-term relationships with sponsors, vendors, and key stakeholders.
Qualifications & Experience
- Education & Background:
- Bachelor’s degree in Event Planning, Hospitality, Marketing, Public Relations, or a related field(preferred but not required).
- Proven experience in event coordination, event marketing, or community engagement within the healthcare or nonprofit sector is a plus.
- Skills & Competencies:
- Strong organizational skills with the ability to manage multiple events simultaneously.
- Exceptional communication and negotiation skills for interacting with vendors, sponsors, and attendees.
- Experience in budget management and financial planning for events.
- Knowledge of event marketing strategies, including social media, email campaigns, and sponsorship outreach.
- Ability to think creatively and problem-solve in high-pressure event settings.
- Preferred Experience:
- Familiarity with catering services, hotel accommodations, and vendor negotiations.
- Experience in healthcare, nonprofit, or fundraising event planning.
- Ability to upsell event-related services for enhanced client satisfaction.

- Monday to Friday
