Position Summary:
The Operations Manager oversees all aspects of outbound mail operations to ensure the accurate, timely, and efficient processing of outgoing mail, packages, and supplies. This role is responsible for planning and managing the organization’s postage budget, working with external vendors, and implementing procedures to streamline outbound mail processes. The Operations Manager will lead the Order Fulfillment & Member Mail teams, focused on high-quality service and cost-effective solutions for outbound shipments. This position requires a proactive, organized individual with strong communication skills and a detail-oriented approach to logistics management.
Essential Functions:
- Oversee the accurate and timely preparation, sorting, and shipping of all outgoing mail and packages.
- Streamline workflow for outbound mail processing, establish priorities, and maintain quality and efficiency standards.
- Assist with scheduling responsibilities for production teams.
- Plan, manage, and monitor the organization’s postage budget for outbound shipments.
- Track postal expenditures, implement cost-saving initiatives, and ensure alignment with budgetary goals.
- Review and approve expenses related to postage and shipping.
- Work with external vendors for outbound mail and shipping services and evaluate vendor performance to ensure cost-effectiveness and quality.
- Assist the Director with contract negotiations.
- Oversee the maintenance and operation of all mailroom equipment used for outbound shipping. Collaborate with the Mailing Machines Team Leader, the in-house maintenance team, and approved vendors.
- Direct leadership of Order Fulfillment and Member Mail teams, including hiring, training, and performance management.
- Foster a positive work environment, actively encourage staff development, and ensure all team members understand and follow procedures.
- Foster an environment of continuous improvement.
- In collaboration with the Mailings Administrator, ensure compliance with postal regulations, organizational policies, and safety standards for all outgoing mail. Implement and enforce security procedures for handling confidential or sensitive shipments.
- Maintain accurate records of all outbound mail center activities, including postage expenses, inventory, and package tracking. Generate reports on outbound mail operations, budget status, and other key metrics for management review.
Job Specifications
Title: Operations Manager
Study or Knowledge or Experience:
- Bachelor’s degree in Business Administration, Logistics, or a related field (or equivalent experience).
- Five years of experience in mailroom, shipping, or logistics operations, with at least three years in a leadership role.
- Strong understanding of postage budgeting, outbound mail workflow, and shipping processes.
- Knowledge of postal regulations and compliance requirements related to outbound mail.
- Proficiency with mailroom equipment and postage software, as well as standard office software (e.g., Microsoft Office).
- Excellent organizational, communication, and team management skills.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Strive to live a life consistent with biblical principles, engaged with the Bible on a consistent basis and demonstrate continued growth and spiritual development.
Internal Work Environment:
Extensive communication with the Print Services leadership team & Supply Chain team. Frequent communication with ministry mail stakeholders including the Customer Service teams and Marketing teams. Topics will be technical and complex at times. Ensures that the standards and procedures for Our Daily Bread workflows are implemented throughout the organization.
External Communication Requirements:
Extensive external communication with a wide range of vendors, suppliers, and mailing partners. Topics will be technical and complex at times. Some domestic travel required.
Leadership Responsibility:
Direct leadership of 10 hourly employees. Including hiring, training, team meetings, disciplinary procedures, and annual performance reviews.
Stewardship of Resources:
Planning and operational management of the mailings budget lines, including Postage, labor, and outside services. Proper, and fully accountable stewardship of ministry funds is expected.
Miscellaneous:
Some domestic travel required
