Job Overview
Company Overview: Our Fortress Homes Inc. is a therapeutic group home licensed for teenage girls in Maryland since 2006. The agency provides quality care to adolescent girls with principal behavioral diagnoses.
We are seeking an experienced Program Manager with a wealth of experience to coordinate the administrative operation of the therapeutic milieu.
Duties
. Ensure compliance with the regulatory requirements from the state and the Joint Commission
· Ensure compliance with human resources records
· Meet with clients/families, coordinate services, and maintain cooperative relationships with parents, guardians, DSS, other community partners, and additional individuals and entities on each child/adolescent’s treatment team.
· Complete new admission paperwork and follow up with placement workers to request any outstanding documentation
· Ensures blank agency forms are available for use at all times, inclusive of the TGH log book
· Collecting and filing all therapeutic documentation from the TGH facility, including life skill notes, MAR, passes, 15-minute tracking log, incident reports, AWOL reports, maintenance requests, and encounter notes.
· Liaison with the clinical therapist and RN and collect all their encounter notes and file them in residents’ charts
· Check all emails, update the program director, and respond accordingly
· Ensures that the counselors’ personnel records meet the state regulatory requirements, inclusive of certification in RCYCP
· Monthly verification of the counselors' licenses
· Schedule and coordinate staff training
· Scheduling meetings and residents’ appointments
· Requesting and filing documentation from TGH staff and other state entities on each resident’s treatment team
· Ensures that submission of all TGH paperwork meets regulatory guidelines and timelines
· Mailing, faxing, and tracking correspondences to/from government agencies
· Participates in the development of treatment plans for residents and treatment team meetings
- Ensure compliance by conducting weekly inspections of the physical environment, developing corrective plans, and addressing any concerns promptly.
- Oversee the staffing process, including determining staffing needs, interviewing candidates, and ensuring appropriate staff-to-resident ratios
- Oversee timely performance evaluations and professional development opportunities
- Monitor and review monthly residential program expenses, ensuring the program operates within budgetary limits.
- Operations Oversight: Oversee the daily operations of residential services, including housekeeping, maintenance, and security
- Vendor Management: Coordinate with external vendors for services such as cleaning, repairs, and landscaping, ensuring contractual obligations are met.
- Compliance and Safety: Ensure compliance with safety regulations and health standards, conducting regular inspections to maintain a safe living environment.
- Problem Solving: Address any operational issues, including urgent repairs, resident complaints, or staffing shortages.
- Record Keeping: Maintain accurate records of services provided, inventory, and facility maintenance schedules.
- Continuous Improvement: Identify areas for improvement within residential services and recommend solutions to enhance operational efficiency and resident satisfaction.
- Promote person-centered practices, ensuring that residents have choice, control, and opportunities to build natural supports in the community.
- Foster positive relationships with family members, medical professionals, and external stakeholders to enhance the residents' well-being.
- Oversee the development of community integration opportunities for residents, facilitating their participation in social, recreational, and educational activities.

Qualifications
- Degree in human service field or in Business Administration
- Proven experience in program management and administrative roles
- Excellent negotiation and time management abilities
- Excellent writing and communication skills
Job Type: Full-time
Pay: $35.00 - $40.00 per hour
