Job Summary:

The Associate Director of Admissions serves with other members of the Division of Institutional Enrollment and is an office team leader who is tasked with managing a staff of 3-4 Undergraduate Admission Counselors. The position plays an integral role is the overall operation and efficiency of the office and responsible for staff training and travel, progress toward enrollment goals, and team morale. Other functions include but not limited to: data sharing, the timely and accurate review of applications, adherence to the office's Customer Relations Management, and oversight of staff projects, roles and professional progress. This person will work collaboratively with the Director of Admissions on the development, execution, and evaluation of the university's strategic recruitment and outreach plan.


Performance Metrics:

  • Project Management: Candidate will complete all assigned projects as prescribed by the director or vice president within the allotted timeframe.
  • Organizational Leadership: Candidate will strive to achieve subject matter expertise in those areas assigned to him/ her by the director or vice president within the first 18 months of employment.
  • Operational Communications: Candidate will maintain professional and consistent (daily) contact with the immediate supervisor and with their immediate reports, and with their vice president on as needed basis.
  • Customer Service: Response time to prospective students and their parents, and other campus departments and off-site stakeholders will be professional and happen no more than 48 hours after the initial communication.
  • Work Quality: Candidate will fulfill all routine task and special projects with fewer than three errors or oversights in a week's time.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The duties and responsibilities for this position includes, but are not limited to the following:

  • Provide supervision to admissions staff to include training, maintenance, performance review, and discipline as needed
  • Provide the knowledge, tools and techniques needed to assist prospective students and applicants during the undergraduate admissions process.
  • Plan and execute routine and special projects in conjunction with the goals and objectives of the university and of the office.
  • Maintain a high level of knowledge and understanding of university information, policy and procedure, organizational structure, opportunities.
  • Manage data, prospects, applicants, and recruitment territories through the CRM system to enhance student relationships, communication timelines and to connect students with other areas of the university.
  • Consult with internal offices such as, the Office of the Registrar, Academic Advising, Financial Aid, Athletics, etc. to grow enrollment and to enhance admissions awareness and build best practices.
  • Conduct interviews with prospective students and parents, providing accurate information regarding admissions standards, academic and related programs, student life, cost, and financial aid.
  • Create and present University information to groups including, but not limited to: high school and college students, parents, school counselors, professional colleagues, alumni, and ministry members.
  • Develop and implement a measurable engagement system that tracks the success rate of the following correspondences: written, electronic, text, etc.
  • Work within existing university and office system including but not limited to Slate, Colleague, Mongoose, SEVIS, etc.
  • Report statistical data on programs, projects, and recruitment travel
  • Provide other duties as assigned.
  • Other duties may be assigned to this position on a regular or occasional basis in response to the needs of the university.

Job Requirements:


Knowledge, Skills and Abilities:

  • Strong oral/written communication, recruitment, relationship building and marketing skills.
  • Public speaker with professional appearance and demeanor.
  • Excellent organization skills and ability to effectively organize and maintain large volumes of records. Demonstrated attention to detail, and strong problem-solving skills are essential.
  • Ability to multi-task and function under pressure as part of a team environment and within a competitive market.
  • Highly skilled in use Microsoft Office programs.
  • Must be detailed-oriented with a focus on achieving optimum results, while maintaining high ethical standards and attention to compliance of university policies, mission, and core values.
  • Self-motivated and can perform/function independently without extensive direct supervision. Problem solving skills are essential.
  • Must maintain a professional appearance to best represent the OLLU brand with prospects and external constituents.
  • Able to lift 35 lbs and stand and interact with people for more than two hours
  • A valid driver's license and must be able to work extended hours or weekend during peak times and for special programs, projects and events.

Education and Experience Requirements:

  • Bachelor's degree from an accredited college or university required. Master's degree is strongly preferred.
  • Five years or more of related experience in admission/ recruitment, financial aid and/or event planning and customer service is required.
  • Experience in managing a team to achieve optimum outcomes required.
  • Experience working with off-site stakeholder including but not limited to high school and college students, their parents, and staff required.
  • Ability to work in a data- and goal-driven environment required.
  • Capable of multitasking-and prioritizing tasks to adhere to deadlines required.
  • Able to read, write and/ or speak in Spanish preferred.

Physical Demands:

Must be able to stand and walk for extended periods of time. Must be able to carry and transport 40 pounds of materials and/or equipment. Must be a licensed driver of an automobile with an acceptable driving record. Must be able and willing to travel long distances if needed, by airplane and by automobile. The physical demands of the above duties described are representative of those that must be met by an employee to successfully perform the essential functions of this job.
