Job Summary:

Reporting to the Vice President for Institutional Advancement, the Director of Advancement Services is responsible for directing all advancement services activities. Duties include leading all data management and gift processing for the University, which requires a comprehensive understanding of gift processing and acknowledgements, prospect management, biographical maintenance and other data maintenance activities. Assists in establishing strategies for cultivation and solicitation of prospects and current donors to increase overall fundraising activity.


Performance Evaluation Metrics:

  • Metric: Database, Donor, and Donation Management
  • Benchmark: Lead all efforts related to the Donor Database including donor and donation management, donation processing, thank you notes and receipting, and working with the Finance team.
  • Measurement Method: Performance Management Systems that measures performance as well as feedback from supervisors, peers, and sometimes, clients.

Essential Functions:

1. Works as part of an integrated management team to establish overall goals and strategies for increasing private support to the University.

2. Leads all gift processing for Institutional Advancement including gifts made by check, credit card, stock transfer, monthly giving, estate planning, and more. Ensures all donors are receipted appropriately.

3. Works directly with Finance to ensure accurate batching and reporting, annual audit work, and other needs from the Finance Team.

4. Responsible for University reporting related to annual and campaign fundraising by creating and maintaining spreadsheets and other documents that are reported by the President and Vice President for Institutional Advancement to all constituencies.

5. Organizes and implements prospect identification management strategies and maintains the prospect pipeline.

6. Identifies, researches and tracks prospective donors in the individual, corporate, and foundation categories using print and electronic sources, in-house files and documents.

7. Prepares prospect profiles and distributes the information in a confidential manner to appropriate personnel.

8. Responsible for the maintenance of all detailed software, license agreements and other information as is related to the integrity of the database.

9. Assists in training IA staff members on new and revised software packages.

10. Ensures protocols are in place and maintains compliance with the OLLU Finance Office, government regulations and reporting standards for the IRS and the US News and World Report.

11. Accepts and fulfills other duties as assigned by the VP for Institutional Advancement as a team member in the overall fundraising activities of the University, including working some nights, weekends, occasional travel, and attending special events as necessary.


Job Requirements:


Knowledge, Skills and Abilities:

1. Excellent oral and written communication skills, including the ability to write clearly, persuasively and concisely. Strong editing skills.

2. Excellent proficiency in Raiser's Edge.

3. Ability to work well under deadline and prioritize projects.

4. Self-starter, goal-oriented and able to work independently and initiate follow-through.

5. Knowledge of internet data sources for professional research and analysis.

6. Ability to interface professionally with administrators, faculty, staff, students and benefactors.

7. Ability to maintain confidentiality and adhere to the University's core values of Community, Integrity, Trust and Service.

8. Strong organizational and interpersonal skills, including the ability to work collaboratively as a member of the IA team.


Education and Experience:

1. Bachelor's degree required, Master's degree preferred.

2. Three years of experience in research and fundraising, preferably in higher education or non-profit required.

3. Working knowledge of Microsoft Office productivity and fundraising software required.
