Reporting to the Airport Operations Supervisor, the Office Assistant performs general administration support functions, customer service support including tasks related to aircraft FBO operations and receptionist duties.
Hours: Average of 20-24 hours/week position except need flexibility especially during EAA. Hours can vary, which will be discussed if interviewed.
EAA you must be available during July 16-30, 2025 to assist with the increase in traffic at the FBO.

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.- Performs a variety of clerical duties such as typing, filing, generating reports, taking minutes, scheduling meetings, tours, appointments and vacation calendars, facilitate incoming and outgoing mail, order and maintain stock of office supplies.
- Serves as receptionist by greeting visitors and tenants, responding to general inquiries, and routing all incoming questions by email and phone to the proper department.
- Support commercial ground, facility and passenger services, such as terminal aircraft ground support, baggage handling, airport ambassador, parking and valet services
- Records minutes at Airport meetings.
- Assist Airport Marketing Manager and Operations Supervisors with managing and corresponding using social media outlets.
- Coordinates and assist airport administration/FBO correspondence with tenants, users, and general public.
- Initiates, updates and maintains department files and records, Airport/FBO statistical data and surveys.
- Assists in planning and organizing events ie. service announcements, ground- breakings, meetings, tradeshows and promotions.
- Assists with special events for Airport and FBO initiatives
- Conducts customer surveys for Airport and FBO initiatives
- Maintain master database for all contacts for use by Administration and FBO tenants.
- Maintains regular and predictable attendance, works overtime/extra hours as required.
- Performs other duties as assigned.
- High school graduate or G.E.D and valid Wisconsin driver’s license
- Or, any equivalent combination of education and experience which provide the necessary knowledge, skills, and abilities
- Knowledge of and demonstrated ability to conform to goals, policies, and procedures of the Department as well as the Outagamie county Work Rules and Terms of Employment.
- TSA background security checks and other testing as required
- Ability to organize work.
- Must be comfortable working early morning, day, and nights and in all-weather conditions
- Ability to work without direct management supervision
- Knowledge of Airport and department goals, policies and procedures.
- Knowledge of and demonstrated skill in performing general clerical duties.
- Ability to handle simultaneous calls on multi-line phone systems
- Knowledge of general office equipment such as photocopy, fax machines, multi-line telephone and calculator.
- Demonstrated ability to comply with appropriate safety regulations.
- Ability to effectively use computer software utilized by the department.
- Ability to effectively communicate in English and understand and follow written and oral instructions.
- Ability to maintain strict confidentiality.
- Ability to work semi-independently making sound decisions using good judgment.
- Ability to effectively use tact and diplomacy with staff, co-workers, tenants, and the general public.
- Demonstrated reliability in attendance and flexibility to work hours.
PHYSICAL REQUIREMENTS:
- Standing and walking for extended periods of time
- Good eye-hand coordination with good peripheral vision
