Sales Administration Manager, Beauty
Outform Group’s fast-growing Beauty division is seeking a dynamic and detail-oriented Sales Administration Manager to join the team. The role is a hybrid of sales administration and controller, sitting at the intersection of commercial finance client. In this role, the talent will interface with the sales / commercial team, the finance team, and the beauty vertical leader, and act as the client-facing liaison regarding matters including, but not limited to, payment terms, invoicing, and client contracts. This role will help streamline the sales process as it relates to client financial obligations :
- Work with new clients to facilitate account set-up in our system and in clients’ systems; track and traffic client set-up and Master Service Agreement (MSA) approval.
- Partner with the finance team to assess client financial information and make recommendations for terms and credit limits.
- Ensure purchase orders (POs) and / or Order Confirmations are received in a timely manner to trigger production.
- Communicate and partner with clients regarding past-due payments; assess and make recommendations internally to the Beauty Vertical Lead, President of Sales, and Controller, and externally to the client.
- Help manage and analyze SugarCRM (Customer Relationship Management) pipeline, probabilities, and timing to provide the most accurate view on revenue.
- Capture and analyze actual / booked revenue from Microsoft Dynamics 365 (D365) to improve revenue reporting and identify sales trends.
- Partner with new store teams to gather data-based New Store Opening (NSO) revenue expectations across all retail partners (Sephora, Ulta, Sephora @ Kohl’s, Ulta @ Target), as well as seasonal retrofit revenue.
- Provide solutions and implement actions to improve efficiency and accuracy in our processes, from establishing terms and credit limits to execution of sales estimates, tracking POs, timely invoicing, and payment. Track client deposits and cash-in-advance payments to ensure we receive payment aligned with critical milestones such as production start date and ship date.
This role will be pivotal for managing and maintaining the beauty division’s financial health. We need a leader who can streamline and enforce the process in partnership with our commercial, finance, account project management teams, and clients. This team member will have strong interpersonal and communication skills, exceptional problem-solving abilities , and be able to effectively convey our process and requirements to our team and our clients.
