We are seeking an Assistant to the Studio Director with at least three (3) years of administrative and client service experience in a business environment. We are a high-performing production partner delivering superior service to our clients including audio post production, signatory services, casting, scheduling, contracting, reporting, payroll, and production management. The ideal candidate for this role loves maintaining a welcoming, clean work environment for clients; organizing and managing documents, deadlines, and schedules; keeping others in the production cycle informed and engaged; and consistently communicating with internal team members about project details, outcomes, issues, and needs.
At the direction of our Studio Director, you will be responsible for:
· Ensuring all studios are opened, prepped, and neat, clean and ready for clients
· Welcoming clients and guests to the studio and directing them to their sessions
· Downloading and uploading materials for sessions/clients
· Prepping printed materials and PDFs for talent
· Managing document and media security
· Managing timesheets and contract signing and filing and reporting
· Checking documents and reports for accuracy and/or inconsistencies
· Maintaining Internal Documents/Spreadsheets/Calendars
· Ordering/purchasing, pick up, and serving food for talent and production personnel, including meals, snacks and beverages
· Managing stockroom and supplies, including ordering and pick up of items
· Taking production notes for sessions when necessary
· Providing administrative support for our clients including arranging car service and booking additional services
· Assisting Studio Director or Principal with other administrative duties and special projects
