What are the responsibilities and job description for the Clinical Operations Manager position at Outpatient Clinic?
Large Specialty Office with multiple locations is looking for a full-time Outpatient Clinic Operations Manager.
HUMAN RESOURCES
- Recruits, hires and supervises staff in close coordination with Director of Outpatient Services and Medical Directors.
- Evaluates performances and recommends merit increases, promotions, and disciplinary actions for office staff in close coordination with Director of Outpatient Operations.
- Assists Director of Outpatients Services in - Outpatient staff conflict resolution.
- Maintains professional working relationship with staff.
- Responsible for automated payroll and attendance data entry to include, but not limited to, adjustments vacations, sick, etc. Monitors and approves the site's payroll process in conjunction with both the Human Resources (HR) and Payroll Departments.
- Assesses workload to assure proper staffing levels are met; provides coverage for open positions when necessary. Seeks input and assistance from HR, Operations and Accounting Departments, as needed when making changes to current staffing levels.
- Develops and maintains cross training in all areas to maximize operational efficiencies and minimize any off disruptions, resulting in patient dissatisfaction, delinquency in charge entry, backlog in filing, etc. OCOM is to be cross trained in all areas of front office functions and all applications of computer system.
OPERATIONS
- Works with Operations, HR, Accounting, A/R, etc. to identify and maintain operational data.
- Help identify and develop Clinic processes and protocols to increase patient flow and satisfaction.
- Help identify and develop Clinic processes and protocols to increase work and employee satisfaction.
- Hears and resolves patient complaints in cooperation and coordination with the Director of Outpatient Services and/or Medical Director - Outpatient.
- Serves as both a resource and as an interface for the site physicians and leadership team. Is timely in reviewing responding to, and disseminating appropriate information to physicians and staff, including email and interoffice mail. Attends and participates in leadership meetings as appropriate.
- Assists in coordination or employee meeting; maintain documentation as appropriate.
- Facility Management: Monitors and/or supervises maintenance, janitorial and other related needs of the facility.
BUSINESS AND FINANCIAL
- Assists Director of Outpatient Services with the development and administration of the site budget and financial cost.
- Internal Controls: Responsible for cash management, daily deposits, and petty cash reconciliation.
- Process accounts payable in a timely manner.
PERFORMANCE REQUIREMENTS

- Knowledge of computer systems and applications.
- Knowledge of health care administration principles. Attend and participate in company sponsored seminars and meetings.

- Skill in written communication (e.g., Outlook email) and verbal communication (e.g., employee meetings).
- Skill in utilizing relevant software programs. Displays a high level of proficiency with IDX, a basic understanding of Windows and Microsoft Word, and a working knowledge of any other systems applications specific to the practice.
- Ability to exercise initiatives, problem solving and decision making.
- Ability to apply policies and principles to solve everyday problems and deal with a variety of situations.
- Ability to work effectively with physicians, patients, staff, and the public.
- Ability to identify problems and recommend solutions.
- Ability to establish priorities and coordinate work activities
EDUCATION
High School diploma or equivalent required, associate dree in health or business administration preferred.
EXPERIENCE
Two years of office management experience, including one year in health care organization, preferred.
Job Type: Full-time
Pay: $65,000.00 - $70,000.00 per year
