Position Summary:
The Office Manager is responsible for overseeing the day-to-day administrative operations of the clinic, supervising front office staff, ensuring smooth patient flow, managing schedules, handling billing coordination, and maintaining compliance with health and safety protocols. The ideal candidate is detail-oriented, organized, and passionate about mental health care access for vulnerable populations.
Key Responsibilities:
- Manage front desk operations including scheduling, intake, and patient communication
- Supervise and train administrative staff
- Maintain compliance with HIPAA and clinic policies
- Coordinate with clinical providers to optimize scheduling and documentation workflows
- Handle basic billing and insurance verification in collaboration with the billing department
- Order supplies and manage vendor relationships
- Assist with audits and reporting for licensing, grants, and insurance panels
- Support a welcoming, trauma-informed, and culturally sensitive environment for all clients and staff
- 2 years of experience in office management, preferably in a healthcare or mental health setting
- Strong leadership, interpersonal, and communication skills
- Familiarity with EHR systems (e.g., SimplePractice, TherapyNotes, or similar)
- Understanding of medical billing and insurance (preferred)
- Commitment to serving underserved populations with empathy and professionalism
- Bilingual (preferred but not required)
