TITLE: Receiving Coordinator DEPARTMENT: Shipping & Receiving
STATUS: FT, Coordinator, Union, Hourly REPORTS TO: Asst. Store Manager
JOB SUMMARY: To ensure the highest level of service possible to Outpost’s internal and external customers. To provide support to all store departments and commissary in regards to receiving and shipping, product and supplies. Coordinate deliveries between stores.
WORK ENVIRONMENT: Fast paced shipping and receiving stockroom. Regular work near moving mechanical parts (i.e. baler, dock equipment) and in cold/hot climate conditions. Ability to work in moderate and loud noise environments including, but not limited to: computers, paging, telephones, human voices, and machinery.
ESSENTIAL DUTIES AND RESPONSIBILITES:
1. Customer Service
Treat people fairly, consistently, and with respect.
Ensure efficient, informative, and friendly service according to established customer service vision and standards.
2. Shipping & Receiving Department Responsibilities
Leadership
Model supportive and participatory leadership qualities, promote team building and motivate staff to achieve stated objectives.
Treat all co-workers with consistency and fairness, in a style appropriate to a cooperative work environment.
Ensure that communications are clear, direct, and respectful.
Ensure the integrity of Outpost’s stated values in decision-making and interactions with others.
Use the interest-based problem solving method to resolve issues.
Ensure professional and friendly service from staff.
Act as a model to all employees following both the union contract and employee handbook.
Shipping and Receiving
Develop and maintain procedures for receiving and shipping.
Prepare all items for pick up by truck driver including commissary products, store products, supplies and mail.
Receive all deliveries for store and commissary. Ensure proper receiving by other store or commissary staff, according to set procedures.
Review invoices for item accuracy to ensure product accuracy in receiving.
Properly warehouse non-perishable items according to set guidelines.
Ensure that product is properly stored and handled by staff.
Coordinate returns to suppliers for store departments and commissary.
Treat vendors and suppliers with respect to maintain positive relationships with Outpost’s internal and external customers.
Maintain communication in regards to receiving and back room with all department managers, coordinators, assistants and journeypersons.
Backroom Maintenance and Security
Plan, organize, and supervise backroom operations.
Set standards for storage, rotation and organization of storage space.
Ensure that backroom and equipment are in clean, orderly condition, and meet Health Department Standards.
Coordinate maintenance of department equipment. Advise store manager of equipment and repair needs.
Ensure backdoor is secure at all times.
Ensure proper security procedures are in place for backroom and receiving.
Ensure cardboard and rubbish is properly disposed of.
Personnel
Develop and uphold performance standards for truck drivers with assistance from the director of store operations.
Ensure training for all department staff. Successfully complete training checklists with new department staff.
Motivate and provide truck drivers with the tools and materials required to ensure high quality and efficient job performance.
Provide timely, thorough and thoughtful performance evaluations to truck drivers in coordination with the store manager.
Recommend to store manager corrective counseling measures and/or disciplinary action as needed for all department staff, according to established personnel policies.
Ensure that department meetings are conducted to maintain effective communication with staff.
3. All Staff Duties
Abide by all Co-op policies and procedures as outlined in the Employee Handbook and other company documents.
Keep store orderly and clean.
Maintain a positive attitude.
Perform all other duties as assigned by the store manager.
KNOWLEDGE, SKILLS, ABILITIES:
Outstanding customer service skills
Ability to coordinate complicated scheduling in a fast paced environment
Ability to operate material handling equipment (i.e. pallet jacks, manual and electrical loading dock lifts, truck rail gates, etc.)
Previous experience with stocking, ordering, and receiving in a retail setting
Previous supervisory experience
Ability to work efficiently in a fast-paced environment and motivate others to do the same
Attention to detail and good organizational skills
Ability to handle multiple demands and work under time pressures
Willingness to be open, to learn, and take on new responsibilities
Demonstrate objectivity, neutrality and calmness under pressure
Regular, predictable attendance
Effective communication skills in English
Ability to read and comprehend instructions
Ability to delegate, train, and interact with managers and staff effectively
Ability to follow through on systems, procedures and policies
Demonstrated ability to follow through on commitments
Valid driver’s license and clean driving record
ESSENTIAL PHYSICAL REQUIREMENTS:

Specific vision ability: close vision, distance vision, depth perception, and adjust focus
Ability to climb up and down ladders
Regular use of sharp cutting instruments
Ability to lift up to 80 lbs.
