What are the responsibilities and job description for the Manager, Office Operations & Workplace Experience position at Overtime?
This role is based in our 12,000 square foot headquarters in DUMBO, Brooklyn and will manage the office and support workplace experience. This role requires the hired individual to be in office 5 days a week. (Monday-Friday)
You’ll collaborate with the Office Operations team to create a positive experience for NY staff, visitors and community members. We also have small private offices in Los Angeles and Chicago within coworking spaces, and your role will include minimal remote office management of those locations. You would report to Overtime’s Head of Technology and Operations in NY. This role is highly important and contributes to maintaining our fun, collaborative and inclusive work environment.
What you'll do
This role would include the following and more:
- Oversee day to day office operations and deliver high quality workplace experiences for 160 full time employees. Also support staff by troubleshooting and fielding questions, requests, and proactively addressing issues before they arise.
- Collaborate with managers and the IT team on new hire desk setups and other workspace management efforts. Partner with your manager and other teammates to contribute to NY, Chicago and LA office expansion as the team grows.
- Own NY office food and beverage program: oversee weekly Lunch Clubs, order communal snacks and drinks, and keep the kitchen stocked with supplies.
- Contribute to monthly reporting related to the NY, Chicago and LA offices, and support budget planning related to office operations and internal team events.
- Ensure the NY workspaces remain extremely clean, well organized and presentable, including managing waste disposal and recycling.
- Manage and maintain positive relationships with various vendors: building property management, janitorial team, food services, access control, shipping solutions and more.
- Oversee visitor management, plus daily mail, package distribution and shipping.
- Contribute to the culture by managing a fun, welcoming and positive work environment and support internal community efforts and events, which include ideation and event support.
- Maintain shared internal documentation that provides all staff with office information and FAQs.
- Managee office supplies inventory and restock supplies throughout the office.
- Build relationships with every teammate. Learn as much as possible to understand the organization, and lead by example as a champion of culture.
- This role includes cross department collaboration and the opportunity to work on anything the company needs, which may include:
- Connecting with department leaders across Production, Social, Sales and more to brainstorm and support department specific events and team building activities.
- Work with members of the Design team to keep office decor fresh and updated.
- Contribute to a range of projects related to office updates and improvements, internal team events, community member tours, office equipment/IT and anything else.
Who you are
- 1-3 years in office management/administration, facilities, workplace experience, retail, customer service or related fields are strongly preferred. Startup experience is a MAJOR bonus.
- You must be hyper organized. You’re meticulous about cleanliness, order and noticing details.
- You’re extremely kind, outgoing and able to stay calm under pressure.
- You’re willing and able to work onsite in the office Monday through Friday.

- Strong written and verbal communication skills are required.

- May require lifting boxes 10-30 pounds or more.
- Familiarity with Google Suite, including Gmail, Google Calendar, Drive, Docs and Sheets is preferred.

Overtime expects the salary range for this FT position to be between $60k-67k annually with benefits and equity in the company.

Salary : $60,000 - $67,000
