Job Description:
The Administrative Assistant, Admissions, provides support and assistance to the director and assistant director of Admissions. The person in this role is responsible for performing data entry and ensuring the integrity of student admissions data while working with various student information systems. The administrative assistant manages multiple calendars and ensures student appointments are covered in cases of absences. Duties also consist of purchasing departmental supplies including office supplies, business cards, food for events and college giveaways. Managing the inventory of supplies as well as the department budget are other essential duties. The administrative assistant also helps with training constituents and develops training materials.
Essential Functions:
  • Coordinate printing and mailing of letters including: admit, recruit, and financial aid
  • Document scanning and maintenance
  • Ordering office supplies and equipment
  • Submitting requisitions and POs, reconciling PCard
  • Basic Workday training of new staff
  • Basic personnel support
  • Assisting with planning and staffing admissions events
  • Other duties as assigned
Knowledge, Skills, Abilities:
  • Must remain current and have productive working knowledge of College policy and guidelines as well as with federal and state legislation as it pertains to higher education. Must have productive working knowledge of the student information systems, multiphone system, email systems, Microsoft Office Suite, and various office equipment
  • Demonstrate excellent and effective written and verbal communications skills and listening skills. Demonstrate proficient and accurate data entry skills. Must demonstrate good judgment and the capability to make quick decisions under pressure, assess situations, consider alternatives and choose appropriate course of action; prioritize and organize work in a logical manner to accomplish goals; ability to manage several projects at once to meet all deadlines; demonstrate individual commitment to teamwork, develop and maintain cooperative relationships with others at all levels of the organization.
  • Demonstrate highly-developed organizational skills, the ability to analyze complex information, and formulate feasible and logical solutions on demand; and be willing to learn new technology and develop new skills. Prioritizes and organizes work in a logical manner to accomplish goals; demonstrates individual commitment to teamwork, develops and maintains cooperative relationships with others at all levels of the organization. Demonstrates flexibility in work practices, procedures or processes, work effectively with others to accomplish tasks and goals and to find solutions to problems. Self motivated and customer focused to meeting the expectation of internal and external customers and accepts personal responsibility for customer satisfaction.
  • Must demonstrate professionalism, leadership abilities, highly-developed organizational skills, excellent interpersonal skills; the ability to communicate effectively orally and in writing; the ability to analyze complex information, identify concerns and alternatives.
    Demonstrate flexibility in work practices, procedures or processes, work effectively with others to accomplish tasks and goals and to find solutions to problems; serve on appropriate committees as required. Demonstrate the ability to adapt to change and perform proficiently and effectively under pressure in a fast-paced working environment and have the abiiity to multi-task, prioritize projects and meet established deadlines.
Minimum Education/Experience:
  • High School Diploma or equivalent (G.E.D.)
  • Prefer (1) year of dealing with the public. Preferably in higher education and customer service environment such as in admissions, records, or college office. Prior knowledge and experience with a computerized integrated data information system is a plus.
  • Proficient in Microsoft Office Suite and demonstrated excellent computer and data entry skills.
  • Higher Education, Office Administration or related business field.
