The Marketing & Events Coordinator is a dynamic role that entails planning, organizing, executing, and tracking the success of various marketing events and other marketing department initiatives. They ensure seamless event logistics, alignment with the company’s brand and values, and support business objectives. Key duties include vendor coordination, departmental file management, and overseeing the inventory of promotional materials. The ideal candidate for this role will excel in public engagement and managing politically charged conversations with oppositional individuals.
This is a fully in-person position working out of our Fairfax, VA location.
Key Responsibilities
- Independently coordinate and execute marketing events of varying sizes such as internal department meetings, parties for clients/prospects, golf tournaments, sales center events, and sponsored participation in larger community events.
- Collaborate with and support Ox Hill team members, both inside and outside the marketing department, to ensure events achieve company and marketing department goals.
- Work closely with our Social Media & PR Specialist and in-house Graphic Designer to strategically disseminate event information across multiple channels.
- Manage company inventory of printed marketing collateral, promotional items, and other event materials.
- Coordinate the transportation of inventory to and from events venues.
- Source, vet, and manage vendors for events as necessary.
- Serve as the primary contact for internal and external logistics in regard to event-related matters.
- Provide onsite, day-of coordination overseeing setup, troubleshooting, and breakdown for all events.
- Engage with event attendees to communicate the company’s mission, address concerns, and foster positive relationships.
- Monitor event KPIs, such as registration numbers and attendee satisfaction, to assess success and drive improvements.
- Maintain marketing department files and calendars in SharePoint.
- Review and appropriately respond to or distribute emails in shared inboxes.
- Draft and schedule email campaigns, tracking performance metrics to optimize engagement and conversions.
- Copywrite and proofread text for web, sales sheets, proposals, presentations, and other marketing materials.
- Other marketing-related duties as assigned.
Education/Experience Requirements
- Associate’s or Bachelor’s degree in business, marketing, communications, or a similar field.
- At least 2 years of experience in event coordination. Corporate event experience is a bonus.
- Comfort with Microsoft Office products and a strong familiarity with SharePoint.
- Experience with email service providers such as Constant Contact.
- Must maintain current knowledge of marketing trends.
- Knowledge of CRMs such as Salesforce and media monitoring tools are a plus, but not required.
Additional Eligibility Qualifications
- Must pass a background check.
- Must be eligible to work in the United States.
- Must have a valid driver’s license and clean driving record with the ability to transport signage, easels, print materials, and other items to and from events.
