Position Summary
The Executive Assistant will provide administrative support to the Chief Executive Officer (CEO) for Oxerra Americas. This position is in The Woodlands, Texas, and is primarily an in-office position with flexibility.
Essential Functions
- Perform clerical and administrative tasks, including drafting letters, memos, reports, and other documents.
- Oversee special projects and assignments, ensuring timely and successful completion. This includes working with multiple departments and international company locations.
- Schedule and attend meetings on behalf of the CEO, take notes, and record minutes.
- Proofread documents for accuracy and clarity before distribution.
- Receive incoming communication, including email, phone calls, and mail on behalf of the CEO, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.
- Identify and implement improvements to workflow.
- Perform office tasks, including maintaining records, ordering supplies, attending to office visitors, maintaining office equipment, and checking and sorting the mail.
- Maintain confidentiality in all interactions and documentation.
- May arrange travel and accommodations, including international travel, and complete all required after-travel documentation.
- Performs additional duties as assigned.
- Minimal travel as needed.

Requirements
Knowledge, Skills, and Abilities
- High school diploma required, bachelor’s degree in business administration or related field preferred.
- At least five years of related experience is required.
- Possess excellent organizational skills and be detail oriented.
- Ability to multitask, prioritize workload, and meet deadlines.
- Flexibility to handle varied tasks and adapt to changing priorities.
- Must have proficiency with Microsoft Office suite with intermediate to excellent Outlook, Excel, and PowerPoint skills.
- Strong communication skills, both written and oral, are essential. Foreign language skills are a plus.
- Strong interpersonal skills, including working with executive leadership, directors, managers, and employees at all levels.
- Ability to work non-standard hours occasionally due to the CEO's international travel.
